SUMMARY The Research and Permissions Analyst is primarily responsible for all research, selection, and licensing of third-party assets, which includes, stock photography, fine art, political cartoons, text, and video/audio, also known as rich media. The Research and Permissions Analyst independently handles a series of projects within K-12 curriculum market that contain approximately 3,000 – 5,000 assets a year. The Research and Permissions Analyst will engage and oversee a pool of approved outsourcing partners that will execute each task related to acquisitions. The Research and Permissions Analyst will help define initial costs and provide cost information to the content area related to vendor labor and third-party permissions for program approval. The Research and Permissions Analyst will ensure that all third-party assets are properly researched from preferred sources, selected by stakeholders, and uploaded on our content management system. In addition, will delegate to the vendor all assets are accurately recorded in the rights management system and maintain records of location of assets, rights acquired, rights holder information, fees, and licensing that is granted.

Requirements

  • At least 2 to 5 years of project management experience in research and acquisition in an educational publishing environment.
  • BA/BFA from an accredited four-year college, specializing in graphic design/fine art, or research and asset management or equivalent work experience.
  • Proficient in use Microsoft Office, Google docs and Smartsheet
  • Experience in file and asset management
  • Excellent project management skills
  • Knowledge in image, text and rich media research
  • Experience with enterprise rights management system
  • Excellent verbal and written communication skills
  • Ability to work collaboratively in a team environment with Outsourcing, Editorial, Design, Project Management Office, and Composition and other functional areas of the business
  • Capable of multitasking and managing multiple projects
  • Must possess ability to judge asset appropriateness for K-12 educational products
  • A good understanding of rights and copyright laws
  • Detail-oriented with creative problem-solving skills
  • Strong negotiation skills with rights holder
  • Basic knowledge of Photoshop in sizing and converting assets
  • Knowledge of photography and art history background helpful

Responsibilities

  • Provides knowledge transfer to colleagues of work related to rights and permissions
  • Prepares, plans, and executes a Request for Proposal [RFP], to seek managers’ approval through outsourcing team to generate a purchase order
  • Sets-up project in rights management system and adds initial information during start-up
  • Prepares and finalizes all supporting documents and tools-sets for each project
  • Actively participates from program launch through publishing
  • Supervises vendor project coordinators, their researchers/permissions staff or freelancers
  • Oversees schedule and budget of each project
  • Oversees all spec, research, selection and clearance processes
  • Ensure that proper transmittals are executed by all parties involved for each phase of research and permissions
  • Educates vendors in procedures and workflow driven by managing director
  • Ensure data integrity within the rights management system
  • Supports all Savvas initiatives, such as rights and sourcing strategies, and meet all compliances with third-party assets
  • Helps drive standardized file naming conventions from asset delivery to publication
  • Supports and/or trains in Savvas tools, such as Smartsheets, Figure One, Alfresco, Prism, SAL and ePayables
  • Facilitates status meeting with Vendor Project Manager on weekly bases to discuss impeding issues, and status of project
  • Attends weekly status meetings with vendors and staff through program management office meetings and communications
  • Communicates with vendors and in-house functional areas any issues that arise and look for viable solutions
  • Ensure all third-party invoices are processed through payment systems for payment
  • Reconciles with vendor partner at end of project and approves all vendor invoices submitted through outsourcing department
  • Pulls asset logs, and executes a rights review of past projects when needed
  • Suggests department best practices and improvements in procedures
  • Recommends freelancers to vendors, for best possible match of their project
  • Suggests additional third-party sources that are viable to K-12 and recommends to managing director
