About The Position

The RFP Coordinator is responsible for managing the end-to-end response process for Requests for Proposal (RFPs), Requests for Information (RFIs), and other customer questionnaires. This role partners closely with Sales, Marketing, Product, Legal, Finance, and Operations to develop accurate, compelling, and timely responses that support new business growth and client retention.

  • Effective communication and collaboration skills across teams
  • Experience with proposal management tools (e.g., RFPIO, Loopio, Qvidian, or similar platforms)
  • Experience in B2B, SaaS, healthcare, financial services, or technology environments
  • Familiarity with compliance, security, or regulatory questionnaires
  • Basic understanding of sales processes and business development
  • Bachelor’s degree or equivalent experience
  • 2–4 years of experience in proposal coordination, RFP management, or a related role
  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations.
  • Ability to write reports, business correspondence and procedure manuals.
  • Ability to effectively present information and respond to questions from a variety of both internal and external sources.

Responsibilities

  • Coordinate and manage the full lifecycle of RFPs, RFIs, RFQs, and security questionnaires from receipt through submission
  • Serve as the primary point of contact for internal stakeholders during the response process
  • Develop, edit, and organize high-quality, compliant proposal responses that align with brand voice and client requirements
  • Collaborate with subject matter experts to gather, validate, and synthesize technical, legal, and commercial information
  • Maintain and continuously improve the proposal content library, templates, and standard responses
  • Track deadlines, milestones, and approvals to ensure on-time submissions
  • Ensure accuracy, consistency, and quality across all proposal materials
  • Support proposal strategy development, including win themes and competitive positioning
  • Conduct post-submission reviews to capture lessons learned and improve future responses
  • Assist with ad hoc sales enablement materials as needed
