About The Position

Provides clerical, administrative, and customer service support for the City’s revenue and licensing programs. This position serves as the primary front-line contact for business taxpayers and licensees, processes routine tax and licensing transactions, maintains records, and supports the work of the Revenue Supervisor, Compliance Officer, and Revenue Auditor. Duties are performed in accordance with established policies, procedures, and ordinances. The ideal candidate enjoys working with numbers, has a background in accounting or bookkeeping, and balances technical expertise with strong customer service skills.

Requirements

  • High School diploma or equivalent, supplemented by additional courses in basic accounting, bookkeeping or retail tax processing. Some college preferred.
  • Two (2) years increasingly responsible tax, bookkeeping or accounting staff support experience that demonstrates applicable organizational, office and computer skills
  • Typing, computer knowledge of Excel and Microsoft Word, 10-key, some basic understanding of accounting, and general clerical skills.
  • Knowledge of standard office practices, procedures, and customer service techniques.
  • Skill and accuracy in data entry, recordkeeping, and basic math.
  • Familiarity with basic accounting or bookkeeping concepts
  • Proficiency with Microsoft Office and database or accounting systems.
  • Ability to read and apply ordinances and instructions at a procedural level.
  • Strong written and verbal communication skills.
  • Ability to manage routine, repetitive, and detail-oriented tasks with accuracy.
  • Ability to maintain confidentiality and professionalism.
  • Ability to work collaboratively as part of a team.
  • Ability to adapt to interruptions, changing priorities, and deadlines.

Responsibilities

  • Serves as the primary front-line contact for business taxpayers and licensees by answering phones, responding to emails, and assisting customers at the public counter.
  • Provides basic information regarding tax filing requirements, payment methods, deadlines, and business licensing processes.
  • Receives, reviews for completeness, and processes mailed and electronic tax returns, payments, and related correspondence in accordance with established procedures.
  • Processes sales and use tax and other business tax returns and payments and posts transactions accurately to taxpayer accounts.
  • Maintains taxpayer and licensee accounts in the City’s accounting and licensing systems, including routine account updates and notes regarding communications and transactions.
  • Coordinates routine business license applications, renewals, and closures by receiving applications, entering data, and routing materials to required City departments for review and approval.
  • Creates and updates business tax accounts upon receipt of required approvals and issues business licenses in accordance with City Code and established procedures.
  • Generates routine billing, missing-filing, or late-filing notices using approved templates and procedures.
  • Assists with maintaining receivable and missing filer accounts and prepares standard communications for review by supervisory staff.
  • Maintains taxpayer, licensing, and financial records in accordance with records retention requirements, including scanning, filing, indexing, and retrieval of digital and physical records.
  • Assists with intake and processing of refund requests and performs related account maintenance only after approval by the Revenue Supervisor.
  • Provides administrative and clerical support to the Revenue Supervisor, Compliance Officer, and Revenue Auditor, including pulling records, assembling files, and tracking routine deadlines.
  • Supports education and outreach efforts by distributing materials and assisting with scheduling or logistics as needed.
  • Refers complex, sensitive, or interpretive inquiries to appropriate staff for review and resolution.
  • Processes a high volume of transactions during peak periods throughout the year while maintaining accuracy and efficiency.
  • Performs related clerical and administrative duties as assigned.
  • Provides assistance or support to other divisions in the Administrative Services Department or any other City department as assigned by the Revenue Supervisor.
