About The Position

The Retirement Plan Practice Manager is responsible for overseeing the operations, compliance coordination, and service delivery of the firm’s retirement plan advisory practice. This role ensures plans are administered efficiently, regulatory requirements are met, and clients receive consistent, high-quality experience. The Practice Manager partners closely with advisors, client service staff, and external providers to support growth and scalability of the practice. The essential functions include, but are not limited to the following:

Requirements

  • Bachelor’s degree in finance, business administration, or a related field (preferred).
  • Experience within a retirement plan or RIA firm preferred.
  • 5+ years of experience in retirement plans, 401(k) advisory, recordkeeping, or TPA environment
  • Series 65 or willingness to obtain.
  • Strong working knowledge of ERISA and qualified retirement plans
  • Experience managing operations and/or client service teams
  • Previous project management skills
  • High attention to detail with ability to manage multiple priorities
  • Proficiency with CRM systems and retirement plan platforms
  • Strong communication and organizational skills with meticulous attention to detail.

Responsibilities

  • Build expertise in employer-sponsored retirement plans, including 401(k)s, 403(b)s, and SIMPLE IRAs
  • Pursue Series 7, Series 66, and state insurance licenses
  • Work toward professional credentials specializing in employer-sponsored retirement plans
  • Develop, maintain, and grow a book of business by managing key client relationships
  • Serve as the primary point of contact and lead consultant for plan sponsor clients
  • Provide guidance on ERISA compliance, plan design, and government reporting
  • Lead plan sponsor meetings, plan review presentations, and committee meetings
  • Mentor staff across the practice by sharing expertise
  • Expand relationships through cross-selling opportunities
  • Anticipate and understand client needs to deliver proactive account management
  • Maintain Venrollment (or current) websites for all plans
  • Support plan setup, conversions, and takeovers
  • Prepare and distribute newsletters and educational materials for plan sponsors to share with participants
  • Grow the practice by converting referrals, internal leads, and business partner introductions into new clients
  • Manage the sales cycle: develop proposals, complete RFPs, follow up with prospects, prepare meetings, deliver final presentations, and close business
  • Conduct discovery to evaluate opportunities and assess fit with prospects
  • Collaborate with internal and external partners to expand the referral network and centers of influence
  • Lead business development planning based on the firm’s resources, focus, and core competencies
  • Create and execute sales, marketing, and business development strategies
  • Leverage strategic partnerships to identify new business opportunities
  • Review Investment Policy Statements and ensure compliance
  • When licensed, generate and evaluate investment performance reports; collaborate with managers to build fund lineups
  • Assist plan sponsors in processing changes to investment lineups
  • Stay informed on developments in the provider marketplace
  • Build and maintain relationships with service providers (recordkeepers, TPAs, and their sales teams)
  • Oversee daily practice operations including employee management, internal communications, staff training, market research, and networking
  • Ensure staff meet client needs while adhering to compliance requirements
  • Support advisors and principals by researching issues, preparing documents, maintaining account records, and drafting client correspondence
  • Communicate and enforce administrative policies and procedures
  • Coordinate enrollment meetings and schedule participant service days for the advisor team
  • Ensure RPAG website stays up to date, including fiduciary briefcase
  • Work with the advisor team to help engage terminated participants on a regular basis
