The Retirement Plan Administrator is responsible for overseeing the full life cycle administration of the organization’s retirement plans, including eligibility, enrollment, deferral elections, loans, rollovers, distributions, and other key plan functions. This position is designed for an experienced professional with strong technical expertise, sound judgment, and exceptional leadership and communication skills. The role works cross‑functionally across the organization and requires a high level of analytical ability, organizational discipline, and attention to detail. The position also plays a key role in the merger and harmonization of benefit plans.

Requirements

  • Minimum 5 years of defined contribution plan administration experience with ERISA‑governed retirement plans.
  • Basic accounting knowledge and strong mathematical skills.
  • Strong background in Form 5500 preparation and review, as well as compliance testing.
  • Excellent written and verbal communication skills.
  • Solid understanding of investment options and plan features.
  • Ability to contribute to process improvements that enhance scalability, efficiency, and teammate experience.
  • Serve as a trusted subject‑matter expert for teammate‑facing retirement plan matters.
  • Support workflows, controls, and best practices to ensure consistency, accuracy, and high‑quality service.

Responsibilities

  • Ensure the retirement plan is administered in accordance with Plan Documents.
  • Execute and/or oversee day‑to‑day plan administration activities, including file submissions, recordkeeper coordination and oversight, and teammate interactions and customer assistance.
  • Act in a fiduciary capacity on behalf of and as directed by the Investment Committee to ensure compliance with ERISA and other applicable regulations.
  • Ensure timely and accurate remittance of records and files to the recordkeeper.
  • Serve as an internal resource for ADP/ACP testing, top‑heavy testing, and ERISA/IRS/DOL compliance matters.
  • Coordinate Form 5500 filing with auditors.
  • Perform record audits, including eligibility and deferral reviews.
  • Manage teammate communications and provide exceptional customer service.
  • Communicate plan changes and updates.
  • Review plan statements and participant accounts; answer teammate questions thoroughly and professionally.
  • Collaborate cross‑functionally to communicate eligibility, enrollment processes, deferral elections, and plan options (e.g., pre‑tax, Roth, after‑tax, rollovers).
  • Assist with loans, distributions, QDROs, rollovers, and Roth rollovers.
  • Provide support for terms, rehires, and acquired teammates.
  • Perform operational reviews of acquired plans to identify missed contributions, late deferrals, or pending IRS/DOL audits.
  • Review hardship and loan documents to ensure accurate handling throughout the merger process.
  • Review and assess needed written amendments or adoption agreements during plan integration.
  • Work closely with legal teams, auditors, and consultants to manage plan termination and final Form 5500 filings.
  • Coordinate with recordkeepers on mapping old investment funds to new options and facilitating plan‑to‑plan transfers.
