About The Position

The Retail Project Manager role is designed to oversee the maintenance and development of retail locations. The Retail Project Manager will work closely with Operations, Finance, vendors, and contractors to coordinate maintenance requests, manage vendor relationships, and lead new store construction projects. This role ensures that each facility operates efficiently, aligns with brand standards, and supports the company's growth through effective budget management, process improvement, and strategic project execution.

Requirements

  • Bachelor's degree in related field (or equivalent experience).
  • 3-5+ years' experience in retail facilities management, construction project management, or a related field.
  • Strong budgeting and financial analysis skills.
  • Proven ability to manage multiple projects across multiple locations simultaneously.
  • Excellent communication, negotiation, and organizational skills.
  • Proficiency in project management tools and maintenance ticketing systems.
  • Must be 21 years of age.
  • Must possess a valid driver's license, reliable transportation, and the ability to travel to project sites as needed.
  • Must be legally authorized to work in the country of employment without needing sponsorship for employment work visa status now or in the future.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Proficient with Microsoft Office Suite or related software (Word, PowerPoint, Excel, and Outlook).

Responsibilities

  • Manage incoming maintenance tickets from Florida, New York, and Pennsylvania retail locations, ensuring timely and effective resolution.
  • Prioritize maintenance issues based on urgency, safety, and business impact across 40+ dispensary locations.
  • Serve as the primary project lead for the implementation of maintenance tracking software, coordinating setup, training, and process integration.
  • Develop and maintain a preventive maintenance schedule to reduce reactive repairs and downtime.
  • Track recurring issues to identify root causes and propose long-term solutions.
  • Occasional site visits to monitor maintenance and construction projects.
  • Source, vet, and coordinate with vendors and service providers (HVAC, electrical, plumbing, janitorial, etc.), supporting contract negotiations and execution.
  • Maintain vendor databases, ensuring compliance with insurance and safety requirements.
  • Monitor vendor performance and service level agreements (SLAs).
  • Review and approve vendor invoices, work orders, and payment submissions.
  • Manage maintenance and construction budgets, ensuring cost control and alignment with financial targets.
  • Support monthly budget forecasting and variance analysis for facilities and construction expenses.
  • Identify opportunities for cost savings through vendor consolidation, process improvements, or material sourcing.
  • Manage new store buildouts and renovations from planning through completion.
  • Coordinate with architects, contractors, landlords, and internal teams to ensure projects stay on schedule and within budget.
  • Oversee permitting, inspections, and final occupancy documentation.
  • Maintain project documentation, including drawings, schedules, and progress reports.
  • Review and track lease agreements, including maintenance responsibilities, renewal dates, and landlord obligations.
  • Act as liaison between company and landlords for property-related issues.
  • Ensure compliance with lease terms and manage tenant improvement (TI) allowances.
  • Implement systems or software to streamline maintenance ticketing, vendor management, and reporting.
  • Develop SOPs for maintenance, construction, and vendor workflows.
  • Provide regular reporting on open projects, maintenance KPIs, and capital spend.
  • Partner with Retail Operations and Finance leadership to align facilities priorities with business objectives.
