About The Position

Weavers Way Co-op Job Description Position: Retail Database Assistant Reports to: Retail Director Level: II Schedule: Full-time, hourly, approximately 35 hours/week Work Location: Hybrid (part remote, part on-site) Purpose: To provide administrative support to the retail team; maintain an accurate database of products; to work with the category management team on pricing updates and promotions; to maintain database/shelf tag consistency at all locations (including coordinating signage related to promotional sales), and to provide strong customer service to both internal (co-op staff) and external customers.

Requirements

  • Detail-oriented with demonstrated problem-solving skills.
  • Proficient in Microsoft Office Suite and/or Google Drive.
  • Ability to prioritize tasks and manage time.
  • Comfortable with mathematical concepts (including percentages and unit conversions).
  • Strong communication and collaboration skills.
  • Familiarity with retail software.
  • Previous grocery retail experience.
  • Previous data entry experience (SQL knowledge a plus).

Responsibilities

  • Maintain POS data for all products at all sites, ensuring correct Category, Subcategory, Vendor, Tax Categories, and other details. May require follow-up with buyers and/or reviewing tax codes.
  • Set initial pricing for items based on target margins unless directed by the Category Management Team.
  • Ensure accurate cost data through routine updates from price lists or invoices as they are received, as well as via quarterly review, including vendor reach out and follow-up via email or phone.
  • Import/Export price lists no later than 2 weeks prior to the effective date.
  • Maintain correct case sizes.
  • Review electronic invoices and resolve flags for new items, preorders, and other item details.
  • Enter Warehouse invoices, ensuring current cost is up to date, and keep available inventory/warehouse order guide up to date.
  • Support and enter transfers between locations.
  • Monitor Email and Phone communications to ensure that all requests are handled accurately and in a timely manner.
  • Troubleshoot mis-rings and not-on-files with store personnel.
  • Support store personnel in adjusting, maintaining, and printing pricing signage, including promotional signage.
  • Coordinate creation of signs with the Marketing team as needed, and distribute weekly price update PDFs to appropriate store personnel.
  • Schedule and conduct quarterly shelf tag/pricing audits.
  • Enter and test promotions as needed.
  • Check Coop Deals flyers for accuracy; alert the Merchandising Coordinator about any inconsistencies.
  • Assist in proofing Coop Finds & other promotional signage.
  • Support the IT department with quarterly inventories.
  • Provide internal and external customers with excellent service at all times.
  • Use appropriate language, behavior, appearance and overall conduct with or in the presence of customers, vendors, and store personnel according to WW policies.
  • Other duties as needed or required.
