About The Position

The Retail Coordinator supports the planning and execution of retail specialty sales initiatives, including trunk shows, on-property activations, pop-ups, and customized amenity requests. This role coordinates details across vendors and internal teams to ensure smooth execution from planning through on-site support. Working on a hybrid schedule between the office and shop, the Retail Coordinator partners with Buying, Marketing, Retail Operations, Events, and the Private Owner team to support clear communication, logistics, and follow-through, contributing to elevated guest and partner experiences throughout the year. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Evaluate packaging needs for brand/product Serve as the primary point of contact for all specialty sales initiatives, including trunk shows, on-property activations, and pop-up experiences. Manage all communication and logistics with trunk show and specialty sale vendors, including confirming dates, coordinating travel and lodging, securing vehicles, and ensuring a seamless on-property experience. Partner closely with the Buyer to coordinate assortments, pricing, and product selection for each trunk show or activation. Collaborate with the administrative team to ensure accurate item setup, inventory readiness, and system alignment prior to each event. Coordinate with the Marketing team on promotional planning, timelines, and event communication to support traffic and sales goals. Work with the shop team to align on operational needs, staffing, floor sets, and in-store execution for all specialty events. Be present on property during trunk shows and activations to support vendors, shop teams, and guests, ensuring a polished and well-executed experience. Act as the liaison between Retail and the Events department for all group, corporate, and private amenity requests, including customized products, specially sourced items, and retail-driven pop-up events. Facilitate end-to-end coordination of group and corporate amenity orders, from initial inquiry through sourcing, customization, fulfillment, and delivery. Support the Private Owner team by acting as a retail liaison for gifting requests, special orders, and ongoing retail needs as needed throughout the year. Facilitate private owner gifting and order requests by coordinating communication, partnering with the shop team on execution, and tracking progress through completion. Maintain clear, timely communication across all stakeholders to ensure deadlines are met and specialty sales initiatives are executed with accuracy and attention to detail. Must comply with all company policies and procedures. To perform the essential functions of this position regular and consistent attendance is required. Must be able to work well with other Team Members, Managers, and interact with our guests. Must have the flexibility to work weekends and Holidays.

Requirements

  • Associate’s degree or coursework in Business, Communications, Hospitality, Marketing, or a related field preferred, or an equivalent combination of education and relevant experience.
  • One to three years of experience in retail, hospitality, events, sales support, or administrative coordination.
  • Demonstrated ability to manage logistics, timelines, and detailed communication across multiple stakeholders.
  • Strong organizational skills with a high level of attention to detail and follow-through.
  • Clear, professional written and verbal communication skills.
  • Proficiency with computers and common business applications, including email, spreadsheets, shared documents, and scheduling tools.
  • Ability to learn and work within POS systems, inventory tools, and internal order management systems.
  • Comfortable managing information digitally, tracking requests, and maintaining accurate records.
  • Ability to collaborate across teams without direct supervisory authority.
  • Comfort interacting with vendors, partners, and guests in a service-oriented environment.
  • Flexibility to support on-property events, activations, and occasional schedule adjustments; standard schedule is Tuesday through Saturday, with flexibility based on event needs.
  • Must be able to sit or stand for a long period
  • Must be able to lift up to 20 lbs.
  • Must be able to safely operate a company vehicle or golf cart
