The Pacific Opportunity Hub serves as the university’s center for ensuring that every Pacific student regardless of background, starting point, or life circumstance has access to the guidance, experiences, and global and civic opportunities needed to translate a Pacific education into meaningful work, engaged citizenship, and long-term economic mobility. The Opportunity Hub intentionally integrates advising, career development, global learning, and civic engagement into a coherent student experience that begins at enrollment and extends through graduation and beyond. The Opportunity Hub Resources and Office Coordinator will contribute to the Hub with three primary functions: 1) support students, alumni, community partners, and current faculty and staff with connections, resources, and smooth, friendly hand-offs as they navigate the Opportunity Hub; provide a welcoming “front door” experience, and support initiatives that will help students to navigate resources; 2) manage budgets; and 3) manage the administrative support systems in the Opportunity Hub.

Requirements

  • Bachelor’s degree required
  • Minimum of 3 years of work experience in budgeting, office management, academic advising, career services, experiential learning, community engagement, or a related field
  • Bilingual skills and/or strong intercultural communication and interpersonal skills
  • Experience with budget systems and processes, including basic bookkeeping.

  • Experience in higher education settings
  • Proficiency with Student Information Systems (Colleague, Banner, etc.) MS Office/Google Drive, and file management systems (e.g., Box)
  • Experience with multiple budget functions, such as processing revenue, fundraising, and collaborating with budget management partners across an organization.

Responsibilities

  • Resource Coordination and Navigation (40%) Provide highly responsive and holistic resource navigation to help undergraduate students to access information and resources that will support them in understanding the complexities of a university environment by using a lens of teaching and student self-sufficiency. Use applied judgment to determine when students should be referred to the Office of Student Support for ongoing support; coordinate with Academic Success Coordinator on student support strategies. Assist students with preparation and processes related to Hub events, such as new student advising steps, major declaration, or connecting with a career coach ahead of an interview Serve as the Hub’s point of contact for other offices and coordination of information from offices such as Dean’s Offices, Admissions, Business Office, Financial Aid, Orientation, and Housing. Assist prospective and current students, alumni, community partners, and current faculty and staff to navigate university resources, policies, and procedures. Support clear and coordinated communications with students and other constituencies regarding Hub programs and activities
  • Budget Management (30%) Manage the budget for the Opportunity Hub, Office of Study Away, the McCall Center for Civic Engagement, and non-degree programs. Provide budget projections, forecasting, reconciliations, reporting, analysis. Work within University budget policies and procedures and Business Office personnel to steward Hub finances and coordinate financial operations with other units as needed. Support Hub administrator and leadership team in strategic planning as it relates to financial aspects of the Hub.
  • Management of Office Systems & General Operations Support (30%) Manage the calendar of availability for flexible, team-based, student-centered scheduling for dropping and scheduled advising sessions, high-demand times, and special sessions Maintains communications systems such as webpages, social media, and email campaigns, coordinating delegation of communications systems in a team environment; Check and manage centralized Hub email accounts; delegate emails and voicemails to Hub staff as appropriate. Answer the telephone; assist students, faculty, staff and community members. Manage office resources, such as office space and supplies; work with vendors or make purchases as needed and within budget. Contribute to event planning support (e.g. catering, room reservations) and execution. Provide back-up support for Paycom processes for students, faculty, and staff. Provide confidential administrative support for Hub leadership team and staff. Manage office systems, databases, Box folders, and related systems for Hub functions. Serve the college and university through governance (e.g., Staff Senate), student support (e.g., club advisor), committee representation (e.g., Curriculum Committee, Academic Standards Committee), work group participation, or other means. Collect and analyze data and records to support assessment, program improvement, and reporting. Attend relevant faculty and staff meetings and participate in team and/or school events, participate in professional development activities, and collaborate with co-workers as a proactive team member. Provide other duties as assigned.
