This role oversees daily front desk operations, coordinates schedules and coverage, supports marketing and life enrichment efforts, and ensures a welcoming, organized, and professional experience for everyone who engages with Garden Spot Village. What You’ll Do Serve as the primary contact at the Resident Services Desk, responding to inquiries, resolving requests, and directing calls or visitors appropriately. Screen and manage calls and inquiries for the Marketing office, including collecting primary market data from callers. Schedule and coordinate marketing tours and appointments, including confirmation calls and follow-up communication. Ensure consistent desk coverage during established hours, including coordination of schedule changes and call-offs. Provide oversight and day-to-day leadership to Resident Services staff to ensure standards, policies, and expectations are met. Welcome residents and guests warmly and assist according to established protocols. Maintain a clean, organized, and professional front desk environment, including inventory of brochures and materials. Manage and respond to incoming email inquiries in a timely and professional manner. Deliver outstanding customer service with the goal of creating a consistently delightful experience. Demonstrate teamwork and collaboration within the Marketing team and across Garden Spot Village. Comply with all organizational policies, procedures, and Resident Rights standards. Attend required trainings and in-service sessions. Perform other duties as assigned. Secondary Responsibilities Provide administrative and secretarial support to other departments as needed. Assist the Business Office Administrative Assistant as requested. Oversee assembly, inventory, and organization of marketing materials. Assist with requests from the Library Committee, Chaplains, and Volunteer staff. Manage postage meter supplies. Process payments (credit card, cash, and checks) for guest room services and related needs. What We're Looking For Pleasant, professional, and welcoming demeanor. Strong customer service, telephone, and interpersonal communication skills. Highly organized with strong attention to detail and problem-solving abilities. Ability to build and maintain relationships with local service providers. Computer proficiency, including Microsoft Office and CRM software.
