Serve as the primary point of contact for walk-ins, assisting with key pickups, rent payments, vendor check-ins, and addressing resident inquiries or concerns. Manage multi-line phone calls, including answering, transferring, and following up on voicemails. Troubleshoot resident portal issues and assist with submitting work orders while inputting requests on behalf of residents as needed. Coordinate and track key pickups with accounting and maintenance teams. Respond to rental verifications promptly. Handle incoming mail and distribute important documents, such as checks, invoices, and correspondence. Maintain office organization by restocking supplies, managing files, and keeping the workspace clean and efficient. Open and close the office daily, ensuring the front desk and communal areas are organized and stocked with business cards and literature. Dispatch and manage emergency work orders when required. Provide exceptional customer service by addressing prospect inquiries about leasing, lease terms, and application processes. Guide prospective residents through the application process and online portal navigation. Schedule property tours for field agents based on incoming calls and online tour requests. Assist with leasing and marketing functions, including follow-ups and outreach efforts. Keep marketing materials updated to reflect current availability. Collaborate and communicate effectively with all departments to ensure seamless operations. Perform additional duties as assigned.
