About The Position

The Residency and Fellowship Education Coordinator, in collaboration with the program director(s), is responsible for coordinating the teaching/training of students, residents, fellows, and faculty associated with the Combined Pediatrics/Physical Medicine & Rehabilitation (Peds/PMR) Residency and the Pediatric Rehabilitation Fellowship. The coordinator is responsible for ensuring the programs adhere to the American Council for Graduate Medical Educational (ACGME) Residency Review Committee (RRC) pediatric rehabilitation training program regulations and requirements in order maintain accreditation status. Additionally, the coordinator ensures adherence to University of Colorado Graduation medical Education (CUGME) policies and procedures. The Departments of Physical Medicine and Rehabilitation seeks a full-time (1.0 FTE) Academic Services Senior Professional, Residency and Fellowship Coordinator to support the Pediatric Rehabilitation Medicine (PRM) Fellowship (0.3 FTE), Combined Pediatrics (Peds)/Physical Medicine & Rehabilitation (PMR) Residency (0.2 FTE), administrative support for the Physical Medicine & Rehabilitation Residency Program (0.3FTE) and medical student programs within the department (0.2 FTE). This position will be hybrid but when in-person will be working between CHCO and AMC academic buildings.

Requirements

  • A bachelor’s degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.
  • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year-for-year basis.
  • Two (2) years of professional level experience supporting the educational mission of an academic unit or team.

Responsibilities

  • Manages the development and execution of the Pediatric Rehabilitation Medicine Fellowship and Combined Peds/PMR Program’s educational and administrative goals, objectives, and structures.
  • Maintains accreditation of both the PRM Fellowship and Combined Peds/PMR program by maintaining Accreditation Council for Graduate Medical Education (ACGME) requirements, reporting of program information and annual updates, reporting of resident and fellow Milestones, and conducting required meetings as deemed necessary by ACGME.
  • Accreditation of the Combined Peds/PMR residency will involve regular collaboration with the Pediatrics Program and PM&R Program.
  • Coordinates additional accreditation activities - ACGME Site Visits, Internal Reviews, annual program reviews, etc.
  • Collaborate with the Program Director to create and manage clinical schedules for residents and fellows using EPIC and QGenda, ensuring coverage across all required rotations and clinical sites.
  • Coordinate scheduling for additional program learners, including visiting trainees and medical students, maintaining alignment with departmental and institutional requirements.
  • Partner with the Director of Medical Students to oversee the administration of 4th-year PM&R electives (PHMD8000, PHMD8600, PHMD8100) across all affiliated sites. Responsibilities include assistance with reviewing applications, issuing rotation invitations, managing rotation schedules and site assignments, and coordinating end-of-rotation evaluations and grade submissions.
  • Coordinates the didactic conference schedule for the PRM Fellowship.
  • Manages the PM&R Wellness program for all PM&R residents and fellows, to include making purchases, processing reimbursements, and event scheduling.
  • Manage travel expenses, including trip registration and final travel reimbursements for all PM&R residents, Combined Peds/PMR residents and Pediatric Rehabilitation Medicine fellows.
  • Processes procurements for the PM&R Residency, Combined Peds/PMR residency and Pediatric Rehabilitation Medicine Fellowship programs.
  • Processes additional compensation forms for Residents and Fellows when applicable.
  • Maintains, interprets, and implements University, state and federal guidelines and policies regarding educational programs.
  • Continually manages and monitors program outcomes, assessments, and evaluations.
  • Manages and coordinates the recruitment and selection process for both the PRM Fellowship and Combined Peds/PMR residency as well as assist the PM&R Education Manager with the main residency recruitment events as needed.
  • Serve as a backup to the GME and Education Manager for the PM&R Residency and Pain Medicine Fellowship.
  • Coordinates end of year graduation event for the Department of PM&R.
  • Manages the MedHub database for the Combined Peds/PMR Residency and PRM Fellowship Programs and provides support for the PM&R Residency.
  • Provides guidance to Residents and Fellows on program and GME policies, and non-clinical aspects of the program.
  • Ensures compliance with CU and ACGME accreditation standards and other regulatory requirements.
