The Reservations Specialist is a customer-service-oriented individual who is the front-line representative for public programming and group reservations. This position is responsible for selling, promoting, and scheduling all Discovery World school field trips and group visits, as well as helping to monitor, check, and clean order databases on a regular basis. The Reservations Specialist interacts with customers daily and is expected to embody strong customer service and communication skills, multitasking abilities, good judgment, patience, and focus on meeting the organization’s needs.

  • Promote, reserve, and sell Discovery World group and school visits, summer camps, public programs, memberships, and general tickets.
  • Be well versed in all details, procedures, and policies related to general museum information, group and program reservations, and summer camps.
  • Field phone calls and emails regarding group and school visits, program details, summer camps, and general museum inquiries.
  • Consistently provide excellent customer service - answering questions, troubleshooting, and completing any tasks promptly, accurately, thoroughly, and respectfully.
  • Create and send emails, invoices, documents, and/or receipts as needed.
  • Develop strong proficiency with Altru Ticketing Software to assist patrons accurately and efficiently.
  • Maintain cleanliness and accuracy of shared spreadsheets, documents, and order and reservations records.
  • Accurately count, enter, and balance any received payments at the close of shift.
  • Work with other departments to contribute to a positive team environment and ensure quality experiences for museum guests.
  • Perform other reasonably related projects and other duties as assigned.
  • Follow all policies and procedures outlined by the Reservations Manager(s).
  • One (1) year or more of successful customer service experience.
  • Excellent interpersonal, written, and verbal communication skills.
  • Must be able to multi-task and be flexible with changing priorities.
  • Work under tight schedules and meet deadlines.
  • Possess a high level of attention to detail.
  • Ability to demonstrate effective work habits including strong organizational skills, effective time management skills, and the ability to work independently with minimal supervision.
  • Strong problem-solving, critical thinking, and analytical skills.
  • Strong working knowledge and proficiency in Microsoft Office Suite and Google Drive programs including Microsoft Word, Excel, PowerPoint, Teams.
  • Experience in box office management, sales, and/or ticketing (preferred).
  • Experience with the Altru Ticketing Software (preferred, but not required).
  • Some college coursework (preferred).
