About The Position

Performs clerical duties for the reservations functions and gives secretarial support to the Associate Director and Executive Director. (Temporary lodging accommodations may be provided upon request, based upon availability.)

Requirements

  • High school diploma or equivalent and a minimum of two years of guest relations and/or secretarial experience.
  • Ability to read, analyze, interpret and generate correspondence in English.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Basic math skills such as, addition, subtraction, multiplication, division and percentages.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to resolve conflicts and troubleshoot a variety of situations.
  • Must have a firm grasp of how computers function.
  • Must be able to learn new computer programs/technology as job requires.
  • Computer literacy in programs such as Microsoft Office (Word, Excel, Publisher, Access, etc) is necessary.
  • Ability to work independently and maintain confidentiality.
  • Must be organized and detailed.
  • Must possess skills in working with culturally and ethnically diverse groups of all ages.
  • Must possess personal management skills and ability to deal with deadlines and multiple projects.
  • Must possess listening and communication skills, including strong phone skills.
  • Must possess adaptability and creative responses to setbacks and obstacles.
  • Must have group and interpersonal effectiveness, cooperativeness and teamwork, and skills for negotiating disagreements.
  • Must be able to resolve customer service complaints or billing disputes in a profession and effective way.
  • Must be very patient and must have the ability to provide excellent customer service.
  • Regular attendance required.
  • Must have a passion for ministry and display a spirit of harmony with the mission and goals of Pine Springs Ranch and the mission and practices of the Seventh-day Adventist Church.
  • Since PSR is located at a 5,000 feet elevation, it is important that the employee be able to work in a high altitude location.
  • While performing the duties of this job, the employee is regularly required to sit, walk, climb stairs, stand, and use the hands to handle, finger, reach with hands and arms and talk and hear.
  • The employee must be able to lift and/or move up to 30 pounds.
  • Successful performance requires specific vision abilities that include close vision.
  • Works in an office environment where the noise level is usually moderate.
  • Work is performed in both indoor and outdoor environment at a mountain location of 5,000 ft.
  • The employee is required to walk up and down hills, including some uneven terrain in conditions that may include ice, snow, and/or mud.

Nice To Haves

  • Some accounting experience preferred.
  • Bilingual in Spanish is preferred but not required.
  • Typing skill of 50 WPM is preferred.

Responsibilities

  • Answers all PSR incoming calls, greets all walk-in visitors and vendors and directs them to the proper department during regular office hours.
  • Schedules and leads tours for potential guests.
  • Creates correspondence and forms needed to facilitate camp operations.
  • Responsible for handling all conference center reservation functions. To include but not limited to: a. Takes all calls and responds to all inquiries regarding conference center. b. Ensures all aspects of reservations contracts are fulfilled (i.e. contracts are signed, deposits received, certificates of insurance received, etc.) c. Obtains details of visit and communicates guest needs to Executive Director, Associate Director, Food Services, Plant Services, and custodial company. d. Informs desk clerk(s) of particular needs of the group(s). e. Completes post-visit billing paperwork.
  • Responsible for providing excellent customer service.
  • Filing.
  • Will primarily work on weekdays, but may be required to work weekends on rare occasions.
  • Miscellaneous duties as assigned by the Associate Director or Executive Director.
