About The Position

The Division of Hematology and Oncology has an outstanding opportunity for a full-time Research Project Manager (RPM) in the Johnsen Laboratory investigating the fundamental mechanisms responsible for variation bleeding, clotting, and blood cells through both basic research studies and clinical/translational research. The Johnsen Laboratory Research Program takes multiple technical approaches including genomics, transcriptomics, epigenetics, mutational scanning, translational research, and performs clinical research in the relevant populations with bleeding disorders. This position is primarily responsible for the planning, development and execution of the Genetics of von Willebrand Disease in the U.S. Study (VUS Study) and Hemophilia A Research Program (VUS and HARP). This position will contribute to the workplan development, implementation and compliance for these projects. The Research Project Manager will work in an inclusive and highly collaborative environment on studies of the impact of genetic variation in hemostasis and clinical/translational research projects and contribute to lab management and organization. The Johnsen Laboratory Research Program is dedicated to improving clinical testing, diagnosis and care of patients with blood disorders through the translation of new knowledge and laboratory innovations. The Research Project Manager will be an integral member of the team and will work independently under supervision of the PI and senior laboratory personnel. This position will provide supervision and mentorship for the program’s Research Coordinators. The University of Washington's Division of Hematology & Oncology includes 130+ faculty members located at the UW Medical Center, the Fred Hutchinson Cancer Center, and the VA Puget Sound Health Care System. Over the past 40 years, members of the Division have made substantial contributions to many other areas of cancer treatment, including the use of tumor vaccines, cellular therapy for cancer, antibody-based treatments, and novel forms of chemotherapy and hormonal therapy. Our Division is deeply committed to maintaining its position as one of the leading centers for research and treatment of cancer in the world. The Research Project Manager will be responsible for the overall coordination and management of a portfolio of complex projects across institutions and nationally. This position will oversee all aspects of the projects including setting deadlines, assigning responsibilities, monitoring status, as well as preparing materials and reports for management. This position requires a strong knowledge of clinical trials and project management methodology, flexibility in a rapidly changing environment, attention to detail and strong communication skills. This position requires independent judgment, leadership, and expert knowledge of the academic laboratory operations to effectively facilitate the workflow and promote a collaborative work environment. The position will maintain dynamic communication with the study investigators, research staff, numerous UW departments, federal agencies, and industry partners. The mission statement of the University of Washington Medical Center states that the Medical Center serves as a research resource, providing an environment in which laboratory research may be conducted. This position and the projects it will support are essential to that mission. This position provides significant contributions to research development, implementation and compliance for laboratories and research studies for the UW.

Requirements

  • Bachelor's degree in a scientific discipline, business administration, or related field, and four years of relevant clinical study experience.
  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
  • A proven track record of leading diverse teams to make decisions and build consensus.
  • Experience with managing a multiple project portfolio, including dashboard development and maintenance.
  • Knowledge of and demonstrated experience with formal project management phases, methodologies, and tools.
  • Highly effective team player and excellent communicator with an ability to interact with and influence internal and external stakeholders and work with executives and administrators with diverse information needs and communications preferences.
  • Regulatory experience with IRB submissions, modification, reporting, and compliance.
  • Thorough working knowledge of strategic planning processes and best practices.
  • Experience facilitating project teams and leveraging these groups to establish priorities, review project health, and escalate/resolve blocking issues.
  • Experience with SAGE, Workday, Oncore, EPIC and University policies and procedures
  • Experience with Federal contracts

  • The ability to multi-task and be flexible while maintaining a professional demeanor is crucial as priorities change throughout each day. May have to respond to multiple requests for information (e-mail, voicemail, fax, virtual, verbal), determining priorities.
  • Work hours may exceed 40 hours per week and be deadline dependent. There may be deadlines over which an individual has no control that require a flexible schedule in order to accommodate research program needs, grant deadlines, and faculty needs. Occasional evening and weekend work (e.g. to meet deadlines; potential travel to study meetings) may be required.

Responsibilities

  • Project Planning & Execution (40%)
  • Oversee the intake and implementation of complex projects at the interface of science and administration.
  • Lead cross-functional teams, create timelines, and track action items.
  • Work collaboratively with the VUS and HARP data coordinating center in defining specifications and ongoing refinement of electronic data collection systems and processes.
  • Identify critical path activities and coordinate with responsible parties to ensure deliverables are achieved.
  • Select appropriate project management tools to achieve strategic goals and lead project teams in evaluating progress.
  • Perform project after-action reviews to identify areas for process improvement.
  • Grant and Fiscal Management (25%) This position will be responsible for the full financial portfolio of the Johnsen lab.
  • Responsible for all pre-award duties and submissions
  • Create SAGE budget, eGC1, ASRs, MODs, assuring adherence to UW and sponsor policies
  • Assist PI with budget pricing and preparation.
  • Work with sub sites to obtain budgets and necessary documentation for submission.
  • Submit sub award requests in SAGE, manage sub award invoice approvals, payments, reporting requirements, and other sub requests
  • Manage PI and staff salary allocations according to sponsor contracts, multiple sources of funding and allowable cost policies. Calculate allocations and submit to central payroll entry team in advance of deadlines.
  • Perform ECC reconciliations, including PAFC for any salary capped awards
  • Monitor entire financial portfolio in Workday, providing regular reports to the PI and other stakeholders.
  • Identify and provide solutions to funding and spending issues
  • Provide information related to available funding for staffing and costs needed to support each project
  • Perform post-award fiscal monitoring and reporting
  • Meet all sponsor reporting requirements, work with GCA in advance of deadline to request reports
  • Apply for No Cost Extensions, rebudgeting, additional funding etc. as necessary
  • Receive, monitor and manage gift and non-sponsor related funding
  • Strategic & Operational Support (10%)
  • In conjunction with the PI, set program goals, develop strategic plans, budgets, and project plans to achieve operating goals.
  • Provide project management, strategic planning, and budgeting support to the overall goals of the project and integration with other Johnsen Laboratory research efforts.
  • Evaluate and report on long-term project needs and progress.
  • Manage resource/cost allocation of funds to sub-projects and budgets.
  • Establish and assure adherence to program priorities and deadlines based on group goals and institutional demands.
  • Stakeholder Engagement & Communication (10%)
  • Coordinate with internal and external stakeholders to determine prioritization of competing activities.
  • Build and maintain strong working relationships with project sponsors, leadership, research administration, administrative departments, and peers.
  • Facilitate transparency and communications among stakeholders.
  • Assist leadership and investigators in communicating project goals and progress to faculty and collaborators.
  • Prepare quarterly and annual progress reports to keep stakeholders informed of initiative status.
  • Supervision (10%)
  • Supervise, review and evaluate the work of Research Coordinator 2 (qty = 2).
  • Set clear performance goals and expectations. Provide ongoing coaching and professional development opportunities to support individual growth.
  • Create and manage work schedule, delegate tasks and organize workflow to meet operational deadlines and performance standards.
  • Evaluate employee performance through regular feedback, formal performance reviews and appraisals. Address performance issues promptly and recognize employee achievements.
  • Compliance & Support Activities (5%)
  • Understand and ensure compliance with University and partner institution regulations governing laboratory activities.
  • Organize and staff project meetings, including those with community providers for network development.
  • Work with development/advancement staff to communicate project goals and achievements to the donor/philanthropy community.
