About The Position

The Patient Access Representative/Scheduler is responsible for all functions related to patient check-in and out, payment collection, and patient medical record management. This role serves as the primary point of contact for patients, providing superior customer service in line with the Center's mission and vision. Key duties include greeting patients, answering calls, identifying patient needs, confirming identity and eligibility, obtaining signatures, scheduling appointments, and addressing patient questions. The position also involves various office and clerical tasks, ensuring patient privacy, safety, confidentiality, and compliance with infection control policies. Additionally, the Patient Access Representative with Medical Assistant (MA) duties escorts patients to exam rooms, records vital signs and medication lists, monitors patient flow, assists physicians with minor clinical procedures, administers adult and pediatric immunizations, and prepares patient charts with relevant medical information. They also schedule diagnostic tests as ordered by physicians.

Requirements

  • High School or equivalent
  • Graduate from an accredited Medical Assistant Diploma/Certificate Program
  • 0-1 year Experience in an office or ambulatory clinic setting as a Front Office Medical Assistant
  • Knowledgeable and understanding of medical terminology
  • Ability to interview patients and interface with physicians, nurses and other professional staff
  • Knowledgeable in Electronic Health records, and various computer programs such as word, and excel
  • Excellent communication skills, including the ability to speak, read and write English/Spanish proficiently
  • Must be comfortable with computers and medical terminology
  • Basic Life Support (BLS) Healthcare Provider from American Heart Association
  • Fire Life Safety Training (LA City) - must be obtained within 30 days of hire and maintained by renewal before expiration date (Required within LA City only)

Responsibilities

  • Act as the positive “face” of the Health Center as the main point of contact for participants and families
  • Support center operations by greeting and checking in patients at the front desk, scheduling appointments, and other front desk functions
  • Schedule appointments, confirm patient availability and properly review appointment date, time, location, and provider name with caller for accuracy
  • Act as an advocate/liaison for patients and the Health Center and continuum of care as appropriate
  • Answer telephone promptly and in a polite professional manner, directing calls to other departments as needed
  • Use sound judgement in handling calls, especially with upset patients, and understand when to escalate calls
  • Maintain all delegated worklists (tasks) through the electronic medical record
  • Ensure effective, efficient, and safe use of equipment
  • Handle patient requests and questions appropriately
  • Provide benefit plan and eligibility information to participants, providers, unions, employers, and others
  • Adhere to the Culinary Health Center and Keck Medicine of USC NV PC policies and procedures
  • Perform duties as care coordinator when assigned
  • Determine patient care needs and direct patients accordingly
  • Ensure patient charts are prepared prior to appointment including x-rays and pertinent lab work
  • Make arrangements to obtain any special equipment needed
  • Set up exam rooms and monitor patient flow
  • Assist physician with exams as needed
  • Prepare and administer adult and pediatric immunizations according to provider’s orders
  • Prepare patients for examinations and obtain and record vital signs
  • Ensure health care delivery areas are fully stocked, organized, cleaned, and disinfected
  • Maintain files and records, oversee equipment and office supply inventory
  • Perform clerical duties including photocopying, collating, faxing, distributing, mailing, and errands
  • Ensure that physician orders for medications and treatments are implemented by the appropriate staff
  • Assist the physician with exams and procedures
  • Record patient information in chart/EHR according to Joint Commission standards
  • Maintain a professional demeanor
  • Schedule patient appointments
  • Ensure patient's right to privacy, safety, and confidentiality is maintained
  • Maintain a safe environment in accordance with standards, policies, and safety regulations
  • Ensure compliance with infection control policies
  • Schedule diagnostic tests ordered by the physician as needed
