OVERVIEW OF POSITION: Under direct supervision, reviewing and tracking reports, and acting as a liaison between funding sources and the organization.

Requirements

  • High School Diploma, GED or national equivalent.
  • 1-2 years’ customer service and/or administrative support experience is required.
  • Proficient in Microsoft Office applications (e.g. Outlook, Word, Excel, Skype) and related computer software; ability to learn new software programs as needed.
  • The ability to provide customer service, administrative support, and a demonstrated ability to handle high volume incoming calls, and data entry
  • Ability to interpret and implement policies, procedures, and regulations.
  • Ability to maintain positive customer service interaction, and a high degree of professionalism.
  • Ability to exercise discretion and maintain a high level of confidentiality.
  • Ability to communicate effectively through oral and written skills, and work cooperatively with a variety of individuals and groups.
  • Ability to obtain and maintain a criminal record/fingerprint clearance from the Department of Justice and Federal Bureau of Investigation per Easterseals of Southern California and/or program requirements.

Responsibilities

  • Reviews and tracks reports to ensure authorization has been received and submitted to funding source in a timely manner.
  • Reviews and edits all progress reports to ensure compliance with funding source requirements.
  • Ensures supervision hours are in compliance with approved ESSC standard and enhanced ratios and seeks additional approval as applicable.
  • Tracks and reports late progress report submissions by associate.
  • Tracks and reports late receipt of authorizations by funding source.
  • Acts as liaison between funding source and ESSC.
  • Communicates monthly list of expiring authorization (Aging Report) to ESSC associates to ensure timely submission of reports for continuation of services.
  • Communicates weekly list of pending authorizations to appropriate parties.
  • Ensures appropriate notification letter (On Hold, No Contact, Termination) to families and funding source are sent out as needed.
  • Maintains and edits participant notes, issues, and general information.
  • Documents correspondence in record keeping systems.
  • Maintains and edits Authorization Aging Report.
  • Attends associate meetings, trainings (including Relias), in-services, and other meetings as requested.
  • Responds to unsafe working conditions immediately.
  • Reports related job injuries/illnesses immediately, and takes corrective action as needed.
  • Performs other duties as assigned.
