About The Position

The Rental Coordinator Supervisor leads the Rental Coordinator team and plays a critical role in supporting the day-to-day execution of the rental business. This position partners closely with Sales, Service, Accounting, Credit & Collections, and customers to ensure rental contracts, invoicing, and operational processes are completed accurately, efficiently, and on time throughout the full rental lifecycle.

Requirements

  • High school diploma or equivalent required; Associate degree preferred.
  • 3–5 years of relevant experience in rental operations, inside sales, service coordination, or a related environment.
  • Previous experience leading or supervising employees strongly preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Effective communicator with the ability to work cross-functionally and with customers.
  • Working knowledge of basic financial and project accounting principles preferred.
  • Proficiency with Microsoft Office, particularly Excel and Word, and internet-based business systems.
  • Willingness to work extended hours during peak seasons.
  • Ability to travel up to approximately 10%.

Responsibilities

  • Lead, train, and develop the Rental Coordinator team, including onboarding, ongoing coaching, goal setting, and performance reviews.
  • Approve timecards, overtime, and vacation requests for direct reports.
  • Oversee daily order entry, contract management, and invoicing to ensure accuracy, timeliness, and proper documentation.
  • Identify process gaps and drive continuous improvement across inside sales and rental operations.
  • Communicate process updates and expectations clearly across departments.
  • Serve as operational backup for rental coordination functions as needed.
  • Maintain fleet inventory records within the ERP system in partnership with Accounting, including asset setup, retirement, and physical inventory counts.
  • Utilize system reports (contracts, extensions, AR aging, etc.) to monitor performance, identify risks, and improve efficiency.
  • Support new branch launches and workforce planning to ensure appropriate staffing levels while managing labor costs.
  • Adjust resources to meet seasonal demand and business growth.
