The Renewal Specialist plays a critical role in driving lease renewal success and enhancing resident retention. Responsible for achieving a minimum of 70% gross renewals month over month, this individual will focus heavily on delivering a best-in-class resident experience throughout the renewal lifecycle. The role involves close collaboration with cross-functional teams including Resident Experience, Maintenance, Asset Management, and Senior Leadership to ensure every resident interaction is seamless and solution-oriented. Sylvan Homes, a full-service Single Family Rental company, seeks a Renewal Specialist to join our rapidly growing team. The Renewal Specialist will be instrumental in ensuring that all residents have a positive relationship with Sylvan Homes. Reporting to the Director of Utilities and Renewals., the Renewal Specialist will be responsible for providing renewal support for all residents.

Requirements

  • Active Real Estate License is required
  • High school diploma or equivalent; Bachelor's degree preferred.
  • Previous experience in leasing or property management.
  • Customer service experience is essential.
  • Strong understanding of leasing regulations and fair housing laws.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Knowledge of Propertyware preferred.
  • Proficient in Google Suite and strong technology skills.
  • Customer-centric mindset with a positive attitude.
  • Detail-oriented with strong problem-solving skills.
  • Ability to manage confidential information with discretion.
  • Capable of working independently and as part of a team in a remote environment.
  • Evening and weekend availability is required.

Responsibilities

  • Manage annual renewals for all residents with communication beginning 180 days prior to lease expiration.
  • Initiate timely outreach to residents and remain compliant with the SLAs set forth for this role
  • Present the provided customized renewal options that reflect market conditions and resident history
  • Educate residents on benefits of renewing, including financial savings, convenience, and loyalty perks
  • Track and manage all lease expiration pipelines, including offer statuses, follow-ups, and escalation needs
  • Partner with maintenance and resident experience teams to resolve outstanding issues impacting renewals
  • Document all resident communication and renewal decisions accurately in the property management system
  • Monitor renewal trends and provide feedback to pricing and operations teams
  • Handle lease negotiations and resident objections professionally, aiming to retain long-term tenancy
  • Support residents with lease questions and ensure timely execution of agreements
  • Remain flexible and adaptable—responsibilities may evolve to meet business needs and improve resident experience. Adaptability and a willingness to take on new challenges are essential.
