About The Position

Sequoia is seeking an Operations Manager to join our Retirement Advisory team. In this critical role, you’ll serve as a strategic partner in both client onboarding and operational execution. Requirements

  • 5+ years of experience in defined contribution space (e.g. 401(k), 403(b), or Profit-Sharing plans).
  • 2-3 years of experience in implementation or project management.
  • A strong operational mindset with a passion for process optimization and data integrity.
  • Experience in retirement plan onboarding, 401(k) plan operations, financial services, or a similar client service-oriented environment.
  • Proficiency with data management tools and reporting systems (e.g., Salesforce, SharePoint, Envestnet, Excel).
  • Excellent communication skills and the ability to collaborate cross-functionally with both internal stakeholders and external partners.
  • A proactive, detail-oriented, and accountable approach to your work.

Responsibilities

  • Lead the operational workflow for onboarding new retirement advisory clients, from agreement execution to account creation with our Registered Investment Advisory (RIA) firm.
  • Establish Sequoia’s access with recordkeepers and ensure all necessary documentation for plan-paid fees is completed accurately and on time.
  • Coordinate and manage plan document intake; organize and store materials in client SharePoint and share with financial education team supporting employee inquiries.
  • Facilitate client setup in client relationship management (CRM), including implementation setup and plan design builds, to ensure internal systems are prepared for plan launch.
  • Collaborate with investment team to ensure fund lineups are captured and configured in Envestnet for quarterly investment reviews.
  • Own the quarterly Plan Health Report (PHR) process, collecting and reconciling data from over 20 recordkeeping partners.
  • Work closely with the CRM team to support data entry and ensure timely, accurate uploads into RIA’s systems.
  • Proactively audit system-generated PHRs for discrepancies and partner with internal teams to resolve issues.
  • Develop and maintain dynamic CRM reports that deliver actionable insights for leadership and client-facing teams.
  • Create new client billing records as stipulated in the service agreement and update as necessary if terms are amended.
  • Manage quarterly advisory fee billing workflows, ensuring accurate invoicing through coordination with Accounts Receivable (AR).
  • Support efforts to collect past-due revenue from clients.
  • Conduct audits of client billing and plan-paid fee data to ensure integrity across systems.
  • Serve as a point of contact for billing inquiries, working cross-functionally with Advisors, AR, Clients, Recordkeepers, and RIA to resolve discrepancies.
  • Review, update, and author internal Knowledge Articles (KAs) to reflect evolving processes and operational best practices.
  • Conduct annual audits of client-facing materials to ensure accuracy, relevance, and compliance.
  • Lead the process of obtaining RIA’s Compliance approval for all client-facing collateral, including updates and new content.
  • Act as the primary liaison between Sequoia and RIA, representing Sequoia in bi-weekly syncs and issue resolution.
  • Collaborate closely with Advisors, Consultants, and external partners to ensure operational excellence across all touchpoints.
  • Support broader strategic initiatives alongside the Director of Operations and contribute to special projects that drive scalability and client satisfaction.
