About The Position

POSITION SUMMARY: Responsible for optimal functioning of the Rehabilitation Services office including coordinating with the Rehabilitation Manager. Coordinates scheduling, prepares patient charts, screens patients appropriately, and oversees Rehab Support Clerk. DUTIES & RESPONSIBILITIES: Provides optimal functioning of the Rehabilitation services office including coordinating with the Rehabilitation Manager. Coordination with central scheduling on new outpatient referrals and providing those patients with proper documentation which could include appointment reminders, health history questionnaires and phone number information. Chart preparation prior to patient arrival which includes patient information face sheet, visit count documentation and other documentation as needed. Appropriate screening of patients and staff when entering building along with coordinating with other employees on where to go within our facility. Registration of patients at initial visit including insurance verification, consent to treatment and health history information. This also includes EMR verification of address, phone numbers, employer, primary care provider, COVID-19 screening and MSP questionnaire when appropriate. Travel verification documentation for patients with VA coverage. Scheduling multiple visits throughout multiple disciplines within Cerner including follow up visits after a patient’s initial evaluation. Prior authorization verification along with monitoring visit counts for proper insurance reimbursement. Notify therapy staff on patients’ arrival, cancellations or no shows and verifying with staff on scheduling needs for follow up appointments. Directly oversees other personnel within the rehabilitation services office to ensure quality care. Verification of clinical documentation to ensure co-signature from referring providers. Provides reporting to rehabilitation manager for quality of care and financial accounts. Daily DA2 revenue reporting with verification of inpatient, swingbed and outpatient charges. Monthly reporting to the accounting department including visit counts and unit charges. Weekly supply ordering which may included office and staff materials to optimize patient care. Monthly DA2 cancellation and no-show rate reporting for quality care. Patient satisfaction survey tracking and reporting. PPE verification and reporting. Coordination with staff to optimize patient care needs. Verification of employee PTO and scheduling needs to optimize patient care. Monitors staff to make sure they are up to date on CPR, licensure, immunizations and organizational education requirements. Coordination of per diem staffing for inpatient, swingbed and outpatient settings during full time staff absences. Coordination with Med/Surg nursing staff on inpatient and swingbed referrals for physical, occupational and speech therapies. Monitoring and Verifying that all patients who have been discharged from outpatient therapy has a discharged encounter within Cerner. Coordination with homecare and hospice staff to ensure patients being discharged from their services receive appointments in a timely manner. Sending invitation requests to appropriate staff for monthly meetings. This also includes taking meeting notes and providing that information to organizational leaders. Coordination and scheduling with therapy staff for homecare coverage, monthly meetings, inpatient time, sick leave or other meetings as needed. Loan consent forms along with verification on equipment being returned after 30 days of use. Contributes to organizational operations by performing other related duties as may be required. Demonstrates appropriateness in meeting objectives in age-specifics. Performs other duties as assigned

Requirements

  • Previous work excellence in customer relations and service leadership.
  • Previous work excellence in organizational skills.
  • High school graduate or equivalent.
  • Must be able to file.
  • Must have a comprehensive knowledge of office equipment.
  • Computer experience required including creation of forms, desk top publishing and spreadsheet.
  • Ability to keep complex appointment schedules to ensure smooth patient flow and therapist availability.
  • Recent experience in a professional office setting.
  • Must be willing to work a flexible schedule.
  • Heartsaver CPR Certified (obtain upon employment)
