About The Position

MAJOR ACCOUNTABILITIES/CRITICAL RESPONSIBILITIES: Administrative Oversight- The Rehab Office Supervisor will have latitude and independent judgement to assign work, recruit, train, and orient administrative staff throughout the Outpatient Rehab Department. Directly supports all front office staff in the Outpatient Rehab Department. Human Resources - Performs annual performance appraisals of direct reports. If warranted, discusses the need for disciplinary action and implements as per TSH procedures. Works closely with Human Resources for all corrective action planning and employee related issues. Approves, submits, and monitors payroll/PTO within Kronos. Provide an assignment schedule for staff based on the needs of the department. Quality Assurance- Member of the Rehab Leadership Council, contributing to overall improvement efforts in the department and personal leadership development. Communicates daily and reports any patient, office workflow issues and updates, or personnel issues to Rehab Section Managers for review. Tracks and reports key performance indicators and associated metrics to the Rehab Leadership Council to help guide key operational changes and improvements. Operational Responsibilities- Oversees and assists with the day-to-day operations of the Outpatient Rehab Department (i.e. phones, service scheduling, appointments) and ensures that these services are provided in a friendly, prompt, courteous, and compassionate manner. Provides administrative support and coordination to the team for: All aspects of patient care and activity for both new and established patients Interaction with physicians, nurse practitioners, office administrators, and other teams inside and outside of Outpatient Rehab. Scheduling of appointments following guidelines that support safe clinical practice, patient comfort, and continuity of care. Activities that require a high standard of timely communication and extensive scheduling/rescheduling of patient visits and treatments as necessary to meet patient and operational needs. Responsible for monitoring and tracking of materials management processes. Professional Responsibilities- Consistently demonstrates integrity, accountability, and respectful and courteous behavior toward patients, visitors, peers, co-workers and direct reports.

Requirements

  • Minimum 8 years of experience as an Administrative Assistant, with at least 5 years in a hospital or healthcare administrative setting.
  • Must be proficient in Microsoft Office including Word, Excel, Outlook, and Power Point.
  • Prior experience in insurance verification required.
  • Good written & oral communications skills.
  • Able to prioritize work assignments on a daily basis, demonstrating flexibility and teamwork to accomplish priority tasks.

Nice To Haves

  • Experience in a lead or supervisory role highly preferred.
  • Associate or Bachelor’s degree highly preferred.
