Position Summary: The Regulatory Specialist coordinates a variety of moderately complex corporate and departmental-level regulatory and information technology activities.

Requirements

  • Bachelor’s degree in clinical discipline, business or related field.
  • Four (4) years office and administrative experience to include data management, internet development and maintenance.
  • Must be proficient in use of Microsoft office products.

Responsibilities

  • Develops and manages databases using Microsoft office tools as required to meet/monitor regulatory standards (e.g. AHCA, The Joint Commission, CMS).
  • Develops and serves as the Content Manager and Site Administrator for the Regulatory SharePoint site on SWIFT. Routinely updates content as necessary.
  • Leads system-wide updates for annual TJC requirements related to area scope of service documents. Coordinates organization of SharePoint site for posting.
  • Serves as the primary System Administrator for TJC accreditation regulatory application additions and updates on a routine basis.
  • Assists corporate and departmental managers and team members with optimal use of information technology relating to regulatory and accreditation.
  • Performs end user system training for regulatory tracer software.
  • Develops tracer reports from mock surveys performed by regulatory department
  • Supports end users regarding system problems, requests, and/or help as agreed upon with Information Services.
  • Serves as the department’s information technology liaison to Information Services.
  • Facilitates regulatory survey processes, both formal and mock surveys, through coordination and arrangement for rooms, supplies, equipment, catering, scheduling of appropriate personnel, identifying and meeting surveyor specific needs (e.g. transportation, meals, accommodations).
  • Provides organization support for the development, triennial revision and distribution of all Patient Care Policies and Procedures.
  • Coordinates monthly systemwide Corporate Patient Care Policy & Procedure Committee meetings, agendas & is responsible for displaying of policies on agenda.
  • Maintains the corporate archives for Patient Care policies and procedures.
  • Develops and maintains Corporate Policy and Procedure Index for use by Corporate Risk Management
  • Performs time-keeper functions and monitors payroll reports for the Regulatory Department.
  • Coordinates the arrangements for meetings, conferences, seminars and travel for all department leaders and team members. Has provided guidance in timely preparation and submission of travel expense reports.
  • Composes and prepares correspondence, invoices, reports, presentations, and transcription from various committee minutes and maintains appropriate files.
  • Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA and other federal, state and local standards.
  • Maintains compliance with all Orlando Health policies and procedures.
  • Resolves office problems independently, facilitates solutions, and confers with leadership to resolve more complex situations.
  • Maintains the accuracy and confidentiality of all information accessed or reviewed.
  • Manages individual assignments independently, accurately and in a timely fashion.
  • Attends meetings and in-services. Presents reports as needed.
  • Actively seeks learning opportunities and assumes responsibility for own growth.
  • Performs other related duties as assigned.
