The Registration Specialist performs a variety of receptionist duties to ensure the front office and clinic operate smoothly and are well-organized. Key responsibilities include warmly welcoming patients and their families, both in person and over the phone, using their names, and maintaining eye contact. The specialist is expected to answer calls promptly, use professional and courteous language, and actively listen to patients while showing empathy. They will keep patients informed of any delays and take responsibility for calls, including transfers. General duties involve scheduling appointments accurately, directing phone calls or taking messages, gathering and verifying patient demographic and insurance information, assisting with required documentation, communicating and collecting co-pays and self-pay balances, and sending payments to the business office daily. The role also requires staying current with insurance benefit changes and process updates, maintaining patient confidentiality, keeping the work area neat and professional, and ensuring patient waiting areas are clean and organized with current resources. The specialist will open and deliver mail daily, adhere to departmental expectations, participate in quality and process improvement projects, and be prepared to cross-train and staff other clinics as needed.
