About The Position

The Registration Specialist at Ball State University will work at the Student Health Center located at 1500 W. Neely Ave., Muncie, IN 47306. The position is full-time with specific hours: Monday, Thursday, and Friday from 8am to 5pm, Tuesday from 9am to 6:30pm, and Wednesday from 9am to 5pm. During the summer, the hours are adjusted to 7:30am to 4pm. The role involves facilitating patient flow from the point of entry to their destination in a timely, accurate, and professional manner. The specialist will obtain specific information to generate accurate financial and demographic records for patients, ensuring maximum reimbursement and clinical outcomes. Responsibilities include scheduling appointments, interviewing patients for medical information, explaining charges and policies, validating and entering charges into systems, and collecting necessary payments. The specialist will also answer incoming calls and direct patients and visitors appropriately, as well as precept current Registration Specialist team members as requested by leadership.

Requirements

  • High School Diploma/GED is required.
  • Prefer relevant experience in a health care setting.
  • Ability to learn and retain medical coding; ICD-10; CPT coding preferred.
  • Requires ability to interpret insurance information.
  • Knowledge of clinical practices and medical terminology preferred.
  • Basic proficiency in MS Office (Word, PowerPoint, Excel).

Nice To Haves

  • Medical office experience preferred, but not mandatory.

Responsibilities

  • Check patients in/out for provider appointments, including behavioral health and nurse appointments.
  • Register patients for provider appointments, including behavioral health and lab appointments.
  • Verify Health Fee during the check-in process.
  • Address message pool and scanning documents.
  • Address walk-in questions and all deliveries.
  • Check if paperwork (i.e. consents, etc.) has been completed and obtain paperwork through Waycom.
  • Assist with provider scheduling when a provider is out of the office.
  • Manage return patient appointments.
  • Sort all faxes received and outgoing certified letters.
  • Handle medical record releases.
