About The Position

The Registration Project Manager (RPM) serves as the primary point of contact between Event Citadel and its clients, ensuring a seamless and high-quality experience throughout the event lifecycle. This role requires strong leadership, project management, communication, and problem-solving skills, as well as strict adherence to Event Citadel’s established show processes, quality control standards, and testing procedures. The RPM oversees all registration-related planning, execution, and onsite support to deliver exceptional service and client satisfaction.

Responsibilities

  • Follow all Event Citadel-defined processes for each assigned event.
  • Adhere to established testing rules, quality standards, and formal escalation protocols.
  • Bill all services in alignment with the sales contract; obtain supervisor approval for any out-of-scope items before quoting.
  • Build complete and accurate test batches incorporating all business rules (registration types, codes, options, web services, etc.).
  • Create and maintain a Production Specification Manual (PSM) for each assigned event.
  • Order, track, and manage all required show materials.
  • Work collaboratively with the show team to develop event databases and registration websites.
  • Partner with the onsite team to design registration layouts and identify appropriate equipment needs.
  • Travel to client meetings and onsite events as required.
  • Maintain accurate, timely task entries within the EZLabor time recording system.
  • Serve as a dedicated advocate for the client, ensuring timely delivery, accuracy, and exceptional customer service.
  • Provide clear direction, support, and guidance to the internal Event Citadel show team.
  • Lead meetings with clients and internal teams to gather requirements, document needs, and identify solutions aligned with Event Citadel best practices.
  • Collaborate with internal technical teams to analyze client needs and support the development and communication of custom registration solutions.
  • Become fully self-sufficient within nine months, requiring minimal supervisory support.
  • Develop an in-depth understanding of the PSM and its alignment with other Event Citadel departments.
  • Maintain strong working knowledge of the full registration lifecycle.
  • Escalate potential risks or challenges promptly to ensure successful service delivery.
  • Notify supervisors when an event faces major issues that may require high-alert oversight.
  • Treat every client as a valued partner and provide solutions consistent with Event Citadel’s current offerings.
  • Respond promptly and professionally to client communication.
  • Seek supervisor guidance when needed and collaborate effectively with the entire Event Citadel team.
  • Stay informed on new Event Citadel products, services, and enhancements.
  • Perform additional duties as assigned.
