About The Position

The position involves greeting patients and families in person or on the telephone, obtaining necessary demographic, financial, and medical information to schedule or register patients for services. The role requires obtaining authorizations and collecting payments when necessary, while ensuring compliance with applicable regulations such as HIPAA and EMTALA. The individual will be responsible for maintaining open communication with patients and families, documenting all activities, and assisting with various administrative tasks related to patient registration and service scheduling.

Requirements

  • 1 year of customer service experience.
  • High school education or equivalent preferred.
  • 1 year of healthcare environment preferred.
  • Able to communicate effectively in English both verbally and in writing.
  • Fluent in Spanish strongly preferred.
  • Basic proficiency in Microsoft Office including Word, Excel and Outlook.
  • Able to accurately enter and interpret data.
  • Able to adapt and react calmly under stressful conditions.
  • Able to serve customers with courtesy and respect.
  • Able to learn and use system-wide hospital application(s).
  • Able to maintain confidentiality of sensitive information.
  • Ability to follow complex written or verbal instructions to solve problems.
  • Able to establish necessary professional relationships and communicate effectively.
  • Able to effectively manage and use resources to meet competing deadlines.
  • Able to take and respond to on-call shifts as assigned.

Responsibilities

  • Greets patients and families in person or on the telephone in a respectful and empathetic manner.
  • Responds to questions and/or problems and keeps open lines of communication with patients/families.
  • Complies with applicable governmental regulations HIPAA and EMTALA.
  • Interviews patients/families to obtain demographic, third party payer, financial/medical information, and identification.
  • Collects payments and provides receipts.
  • Verifies third party payer information via the web or telephone.
  • Obtains and documents appropriate authorization for hospital services.
  • Documents all activities in the Collection Notes file of the computer system.
  • Obtains all necessary consents for patient.
  • Secures patient ID bracelet and ensures accuracy.
  • Directs families to the appropriate location in the facility.
  • Verifies patients are accompanied by legal guardian and notifies Risk Management if necessary.
  • Notifies patient/family of deductibles, co-payments, and deposits required for registration.
  • Communicates with appropriate departments if any issues/questions arise.
  • Obtains and validates prescriptions and clinical documents when appropriate.
  • Places and monitors patients arriving for outpatient services using patient tracking system.
  • Corrects any registration errors made utilizing the QA system.
  • Scans all documents to the appropriate folder in the PEDS system.
  • Schedules hospital services as appropriate.
  • Triages incoming facility inquiries and routes appropriately.
  • Secures adult exemptions for outpatient procedures when necessary.
  • Identifies duplicate financial and medical record numbers and handles as appropriate.
  • Performs down time manual registration as needed.
