About The Position

The Regional Veterinary Practice Manager (RVPM) at Dr. Kelly's Surgical Unit is a dynamic leadership role focused on managing multiple surgical veterinary practices. The RVPM is responsible for ensuring high-quality patient care, operational efficiency, and the growth of services across the organization. This position requires expertise in team management, KPI development, and patient information management systems, with a strong emphasis on optimizing clinic workflows and supporting the Hospital Managers and Regional Field Managers.

Requirements

  • Extensive experience in multi-practice management and/or large multi-doctor and specialty clinic management.
  • Proven expertise in the use and management of Patient Information Management Systems (PIMS).
  • Strong leadership, communication, and project management skills.
  • Background in veterinary surgery practice management with an understanding of surgical clinic operations.
  • Independent, proactive problem-solver with attention to detail and multitasking ability.

Nice To Haves

  • Experience in administrative roles (2 years preferred).
  • Experience in operations (2 years preferred).

Responsibilities

  • Manage medical hiring processes, including job postings and onboarding.
  • Conduct quarterly performance assessments and end-of-year reviews, coordinating pay adjustments.
  • Schedule and oversee weekly meetings with Hospital Managers and attend leadership meetings.
  • Monitor and update KPIs weekly, identifying inefficiencies and proposing solutions.
  • Build and maintain organizational processes in onboarding software, ensuring updates and consistency.
  • Expand, coordinate, and manage quarterly external training sessions and develop comprehensive training plans through Continuing Education programs.
  • Manage and use the Employee Assessment Tool (Culture Index), updating organizational charts and scheduling regular reviews.
  • Oversee payroll processes, ensuring accuracy and timely submission by auditing timecards and addressing discrepancies.
  • Track, monitor, and resolve outstanding invoices and payments.
  • Serve as an EzyVet subject matter expert, providing support and training for the Patient Information Management System.
