About The Position

The Regional Office Assistant, working closely with the Regional Director and Regional Administrator, will provide support to the regional office in various areas including communication of the hiring process, managing the pool of regional staff candidates, facilitating the regional interview processes, and preparing for new hires. This part-time position requires 5 scheduled hours per week and involves personal fundraising, with training provided. The role includes bi-weekly check-ins with the Regional Director for task prioritization and needs assessments, and the option to attend quarterly regional staff meetings.

Requirements

  • High school education or equivalent; Associate’s degree preferred
  • Previous administrative assistant experience preferred
  • Ability to type 55 to 60 words per minute with few errors
  • Proven data entry skill, which must be accurate and rapid
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational skills with attention to detail
  • Good grammar with strong written and verbal communication skills
  • Ability to maintain confidentiality
  • Basic accounting skills
  • Detail-oriented while successfully accomplishing multi-tasks
  • Proven relational skills with both kids and adults

Responsibilities

  • Communicate the hiring process to the region
  • Manage the pool of regional staff candidates
  • Facilitate the regional interview processes
  • Prepare areas for new hires (on-boarding)
  • Prepare new staff (on-boarding)
  • Facilitate individual on-boarding review
  • Manage regional evaluation timeline for full-time staff
  • Conduct exit interviews for departing staff
  • Provide general office support, including correspondence, filing, and mailing
  • Answer phones and respond to voicemail, e-mail, and phone calls in a timely and professional manner
  • Send thank-you letters to donors
  • Interact with all area and regional staff, volunteers, area and regional committees, and regional management teams
  • Process and track donations
  • Maintain donor and leader databases
  • Manage monthly purchase card expenses and staff expense reports
  • Provide personnel support for regional staff
  • Coordinate regional fundraising events and other regional events
  • Assist with annual camping administration
  • Maintain, organize, and facilitate monthly deadlines
  • Provide staff care, including birthdays and assignment care packages
  • Assist with gathering regional statistics electronically via the Growth Planning Software (GPS) system
  • Facilitate paperwork to open and close area ministries across the region
  • Manage and execute area transfers
  • Manage Mission Security application for staff within the region
  • Update the MSite
  • Provide administrative support for volunteer-led areas and areas in staffing transition
  • Assist with additional work from regional staff
  • Plan, coordinate, and facilitate regional events
