As the organization shifts into a modern B2B sales model, operational support has become a strategic advantage—not just a back-office function. The Regional Logistics Coordinator (RLC) is the operational engine that fuels field productivity. RLCs eliminate friction, streamline order workflows, manage repair and rental logistics, and ensure that Educational Account Managers (EAMs) and District Managers (DMs) stay focused on what matters most: serving educators, growing school programs, and increasing our market impact. The RLC enhances educator experience, improves order accuracy, accelerates turnaround times, and strengthens the operational infrastructure of School Services across the region.

Requirements

  • High School Diploma or GED required.
  • Minimum 3 years of experience in operations, logistics, or sales support (field-support setting preferred).
  • Exceptional organizational skills, attention to detail, and ability to manage multiple workflows in a fast-paced environment.
  • Proficiency with Microsoft Office and ability to learn CRM systems (Salesforce strongly preferred)
  • Strong communication skills with the ability to maintain professionalism across educator, store, and internal interactions.
  • Knowledge of band & orchestral instruments or a strong willingness to learn quickly.

Nice To Haves

  • Experience supporting field sales teams, especially in a distributed or region-based structure.
  • Familiarity with school music programs, music educators, or K-12 environments.
  • Bilingual capability (especially Spanish).

Responsibilities

  • Serve as the primary operational partner for EAMs, ensuring they maintain maximum educator-facing time.
  • Remove administrative burden by managing non-selling workflows, standardized processes, and documentation requirements.
  • Communicate proactively with EAMs regarding order statuses, backorders, inventory availability, repair timelines, and logistical constraints.
  • Ensure regional alignment with School Services leadership cadence by reinforcing key operational KPIs and SLAs.
  • Manager the full lifecycle of school orders -including rentals, repairs, accessories, replenishments, and new program setups.
  • Track purchase orders, inbound/outbound shipments, backorders, and replenishment cycles across stores, distribution centers, and repair facilities.
  • Validate accuracy of all order inputs including pricing, SKUs, shipping details, educator requirements, and supporting documentation.
  • Anticipate potential delays and take proactive steps to resolve exceptions before they impact educator satisfaction.
  • Maintain organized digital documentation for PO files, delivery confirmations, school-specific compliance requirements, and issue logs.
  • Support rental season readiness by coordinating inventory visibility, replenishment needs, and store partnership workflows.
  • Manager repair pickups, delivers, and communication loops with educators, Educational Account Managers, and repair facilities.
  • Monitor gaining repairs, identify potential service risks, and escalate patterns to School Services Operations leadership.
  • Support regional product initiatives including educator promotions, accessory drives, and large-scale program rollouts.
  • Serve as high-quality communication bridge between educators, stores, repair shops, customer service, and field teams.
  • Maintain a professional, responsive, educator-first communication standard in all interactions.
  • Quickly triage and resolve operational issues, collaborating with internal partners to ensure timely resolution.
  • Identify recurring friction points (order accuracy, repair flows, store bottlenecks) and propose improvements to leadership.
  • Ensure logistics data, order notes, repair statuses, and delivery timeline are accurately documented in Salesforce.
  • Support EAMs in maintaining alignment with routing, lead management, and regional operational SLAs.
  • Produce weekly logistics performance dashboards including backlog risks, inventory constraints, repair aging reports, and delivery timelines.
  • Reinforce data integrity and documentation standards that enable accurate forecasting and performance management.
