About The Position

The Referrals Coordinator plays a critical role in supporting patient access to specialty care by managing the referral process from initiation to follow-up. This position is responsible for scheduling referral appointments, verifying insurance coverage, obtaining prior authorizations, and ensuring timely communication between patients, providers, and external specialists. The Referrals Coordinator also assists patients in overcoming barriers to care by coordinating supportive services such as interpreters, transportation, or financial assistance. Success in this role requires attention to detail, excellent communication skills, and the ability to navigate health system complexities with professionalism and compassion. The Referrals Coordinator ensures compliance with HIPAA and organizational protocols while contributing to quality improvement initiatives and overall patient satisfaction.

Requirements

  • High School Diploma or equivalency; Associate’s degree preferred.
  • 2-3 years of experience in a Medical Front Office preferred. Experience and/or training in billing and charge entry; or equivalent combination of education and experience.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively with internal departments.
  • Experience in Microsoft Office Suite.
  • Experience with Electronic Health Records.

Nice To Haves

  • Relevant certifications a plus.
  • bilingual; fluent in Spanish and English, demonstrating excellent oral and written skills in the language identified by the Health Center as being a language-of-need.

Responsibilities

  • Schedule referral appointments as requested by KCHC providers.
  • Track all referrals and notify providers of cancelled or missed appointments in accordance with KCHC protocols.
  • Verify insurance coverage for referred patients, including prior authorizations and eligibility for procedures.
  • Notify patients of scheduled referral appointments in a timely manner and review expectations with them.
  • Assist patients in addressing potential barriers to care, such as transportation, language services (e.g., interpreters), or prescription assistance.
  • Review updated referral and diagnostic reports, addressing outstanding orders as directed by the supervisor.
  • Respond to patient inquiries related to referrals promptly and professionally.
  • Submit all referral documentation, including lab and diagnostic reports, via fax or electronic transmission in a timely and secure manner.
  • Identify and engage appropriate cultural and community resources, maintaining relationships with external service providers.
  • Maintain a professional appearance, demeanor, and commitment to quality service.
  • Comply with all HIPAA regulations and KCHC policies regarding patient privacy and employee conduct.
  • Participate in Quality Improvement initiatives as required.
  • Perform other duties as assigned.
