About the position

The Provider Recruitment and Retention Coordinator, under the direction of the Assistant Vice President of Physician Recruitment and Retention, is responsible for the coordination and supervision of the daily operations of Recruiting Services (to include in-house recruiting, external agency recruiting, advertising coordination, community relations, etc.) and to assist the Vice President in coordinating retention efforts with the Provider Services Department. They are responsible for the administrative functions of the recruitment process and participate with the Vice President in program development and performance improvement. The Recruiting Coordinator will effectively collaborate with other departments to integrate overlapping processes and support the total recruitment effort. The Recruiting Coordinator must maintain strict confidentiality in all matters pertaining to applicants and employees of Guthrie. The Recruiting Coordinator consistently demonstrates the core values of Guthrie and serves as a role model to other employees.

Responsibilities

  • Serve as a primary point of direct administrative contact and liaison with other offices, individuals, and agencies on a range of specific issues.
  • Organize and facilitate meetings, conferences, and other special events as required.
  • Assist in activities associated with external and internal recruitment processes.
  • Coordinate phone interviews with candidates.
  • Develop and maintain working knowledge of the health system and regional communities to assist with candidate inquiries.
  • Work with in-house physician recruiters to develop a comprehensive candidate itinerary.
  • Assist recruiters with the facilitation of candidate site visits including travel, meals, and facility tours.
  • Update Applicant Tracking System when contracts are received.
  • Provide confidential administrative support for department leaders, manage calendars, and prepare reports as needed.
  • Gather, enter, and/or update data to maintain departmental records and databases.
  • Process all department invoices timely and accurately.
  • Track and oversee the day-to-day management of supplies, equipment, and facilities for the office.
  • Ensure compliance with all legalities, including recruitment guidelines and regulations.
  • Assist in the design, order, and stocking of physician recruitment literature, packets, and brochures.
  • Write, edit, and proofread a variety of legal documents including contracts, proposals, letters, memos, and emails.
  • Conduct research on relevant laws, regulations, and industry trends as needed.
  • Work with clients and attorneys to understand the scope of work and develop appropriate contracts.

Requirements

  • High School Diploma or equivalent required.
  • 3 years prior experience performing duties specifically relevant to recruitment and/or healthcare environment is required.
  • Exposure to and thorough understanding of PC software applications is required.

Nice-to-haves

  • Associates degree is preferred.
  • Previous health, sales, marketing, or recruiting background with specific knowledge of the medical/physician community is preferred.
