Recruitment Administrative Coordinator

About The Position

The Recruitment Coordinator plays a key role in supporting hiring by managing the logistical, administrative, and communication needs of the recruitment process. This position helps ensure a smooth and professional experience for candidates and stakeholders by coordinating interviews, organizing visit activities, and facilitating timely information flow between HR, search committees, and departmental leaders. The coordinator also contributes to onboarding activities and supports targeted outreach efforts to strengthen recruitment for specialized or hard‑to‑fill roles. Department Specific Responsibilities - Creates and organizes candidate itineraries, assists in coordination of travel arrangements, and manages all events associated with onsite visits. - Coordinates and schedules interview times on clinical staff’s calendars for onsite visits. - Collaborates with the HR team to provide search committees with application materials. - Coordinates virtual interviews and ensures all participants have the necessary information and access. - Collects and organizes feedback from clinical staff following virtual and onsite interviews. - Maintains onboarding checklists for new hires, ensuring compliance with guidelines and policies. - Assists with onboarding and new‑hire orientation activities. - Serves as the primary liaison and point of contact for all onsite recruitment logistics. - Escorts candidates to meetings and locations throughout their onsite visit. - Conducts targeted sourcing and recruitment marketing strategies to attract candidates Responsibilities Connect to Promise - Demonstrates a commitment to IU Health's mission, vision, and values by exhibiting behaviors and delivering results that align with the strategic direction of the organization. Requirements

  • High School Diploma/GED is required.
  • Requires 4-6 years of relevant administrative experience in a healthcare or complex organizational setting.
  • Requires experience supporting senior leaders and managing sensitive information.
  • Requires advanced proficiency in MS office (Word, PowerPoint, Excel).
  • Requires proficiency in EMR and medical terminology for clinical care focused positions.

Nice To Haves

  • Experience with a matrix organization and complex work environment is a plus.
