Requirements

  • An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.
  • Age Requirement: Must be at least 21 years of age or older
  • Education: An Associate's Degree in Business, Event Management, Hospitability, or a closely related field. A Bachelor's Degree is preferred.
  • Experience: at least three to four (3-4) years of experience in facility coordination, program coordination, and planning small- and large-scale events, special event management, including at least one (1) year of leading and/or training part-time/seasonal staff; or an equivalent combination of education, training, and experience.
  • Licenses and/or Certifications Required: M ust possess a valid Driver’s License CPR/AED/First Aid Certification; or the ability to obtain within 30 days of hire

  • Ability to provide excellent customer service to internal and external customers/participants
  • Proficiency in Microsoft Office Suite; experience with event or project management software preferred.
  • Flexible schedule with availability for nights, early mornings, weekends, and holidays.
  • Ability to communicate effectively in both oral and written form.
  • Ability to interpret a variety of instructions.
  • Ability to establish and maintain effective working relationships with supervisor, support staff and other departments/agencies position interacts with.
  • Ability to work flexible hours including nights and weekends
  • Moderate to heavy physical work to include lifting, carrying, pushing and/or pulling of objects and materials up to 50 pounds
  • Ability to exert heavy physical effort and frequent performance of activities requiring a full range of body movement including climbing, balancing, stooping, kneeling/bending, crouching, crawling, and/or twisting
  • Frequent hand/eye coordination to operate tools and electrical equipment as well as for driving equipment and vehicles
  • Vision for reading, recording and interpreting information
  • Speech communication and hearing to maintain communication with employees and citizens
  • Ability to physically access a variety of event sites
  • Works both indoors and out, and to withstand exposure to varying weather conditions
  • Must satisfactorily complete a criminal background and driving record check prior to commencing employment.

Responsibilities

  • Independently plan, organize, and execute select Town events and programs from concept through completion.
  • Coordinate and manage vendors, contractors, and internal staff to deliver successful events.
  • Lead on-site event operations, including directing staff and serving as the primary client and vendor contact during setup and teardown.
  • Support the Supervisor and Sr. Supervisor by providing input on policies, workflows, and long-term event strategies.
  • Assist with the hiring, training, mentoring, and development of Event Staff Assistants and Coordinator I/II staff.
  • Support the Special Event Permit process as needed, including reviewing applications and coordinating logistics.
  • Collect event feedback and data to prepare post-event evaluations and recommendations for improvement.
  • Maintain accurate financial records, including P-Card compliance and budget reconciliation for assigned projects.
  • Serve as a representative of the Town in building and maintaining strong relationships with clients, vendors, and community partners.
  • Frequently work nights, early mornings, and weekends in alignment with event schedules.
  • Serve as the on-call manager for rentals and permitted events.
  • Track deadlines, deliverables, and follow-up actions related to contracts, vendors, and event logistics using project management tools, primarily Excel and Asana.
  • May fill in as a back up to the Event Administrative Coordinator and/or Event Coordinator as needed.
  • Performs other duties as assigned or required.
