About The Position

Manages and coordinates all reservations and scheduling related to the City's recreation facilities, athletic fields, pavilions, parks and special events; provides clerical and administrative support to the department; ensures the accurate processing of facility reservations; assists the public with program and rental inquiries; helps maintain efficient and organized facility operations; and performs other related duties as required.

Requirements

  • High School Diploma or equivalent, and two years' experience in office administration, customer service or facility scheduling is required OR an equivalent combination of education and experience.
  • First Aid/CPR and National Incident Management System (NIMS) ISC Certifications are required within one year of employment.
  • Must possess a valid Texas Driver's License.

  • Associate's degree in recreation administration, business or a related field is preferred.

Responsibilities

  • Coordinates and processes reservations for recreation centers, athletic fields, pavilions, parks and special event spaces.
  • Maintains and updates facility reservation calendars and databases to ensure scheduling accuracy and prevent conflicts.
  • Prepares and issues permits, contracts, invoices and other related reservation documentation.
  • Responds to public inquiries regarding facility availability, rental policies, recreation programs and event scheduling.
  • Provides exceptional customer service to residents, organizations and event planners.
  • Assists in addressing and resolving customer concerns, scheduling conflicts or complaints.
  • Performs clerical tasks such as data entry, filing, recordkeeping, answering the phones and report generation related to facility reservations and departmental operations.
  • Compiles and reconciles reservation revenues; prepares daily deposits and monitors income reports.
  • Coordinates billing, invoicing, and payment tracking for facility rentals and special events.
  • Assists in planning, organizing and implementing special events and recreation activities hosted by the City.
  • Coordinates with maintenance and recreation staff to ensure facilities are properly prepared and equipped for scheduled activities, tournaments or events.
  • Monitors facility conditions and reports maintenance or custodial needs to appropriate staff.
  • Assists in ensuring recreation facilities, parks and equipment are safe, clean and ready for public use.
  • May perform light custodial or setup tasks such as arranging tables, chairs or sports equipment, as needed for events.
  • Coordinates the purchase of office and program supplies; monitors and maintains inventory levels for reservation operations.
  • Provides support in training or coordinating the work of part-time or seasonal staff assisting with facility operations and events.
  • Attends departmental meetings and training as required.
  • Performs other related duties as assigned or required.
