About The Position

The Recreation Coordinator plans, promotes, implements, and evaluates recreational programs and events, including summer camps, enrichment activities for all ages, family programs, sports, and farmers markets, events, and other assigned activities, along with related facility management for these activities. The Recreation Coordinator also works collaboratively with other coordinators and Municipal staff and assists with developing marketing strategies that increase attendance.

Requirements

  • Ability to work flexible hours, days, evenings, and some holidays based on activities, events, and Municipal business
  • Foundational knowledge of public recreation principles and objectives; familiarity with current community recreation activities
  • Ability to manage multiple projects and tasks and meet deadlines
  • Ability to develop and manage recreation programs and events tailored to community needs
  • Proficient in operating office equipment, including computers and supporting word processing, spreadsheet, and database applications
  • Strong recordkeeping and document management skills
  • Capacity to work effectively within a collaborative team environment, delivering accurate information to citizens and colleagues
  • Strong attention to detail and outstanding organizational, analytical, and planning skills
  • Demonstrated initiative and ability to work independently as well as collaboratively
  • Logistical management skills
  • Proficiency in general computer use and MS Office applications
  • Professional demeanor; adept at managing conflict with composure
  • Capacity to apply creativity
  • Skill in exercising independent judgment

Nice To Haves

  • Bachelor's degree in recreation administration, sport management, or a related field preferred; or at least two years of relevant experience
  • Two years prior experience in planning, implementing, and evaluating programs and events
  • Solid computer proficiency
  • Experience with Canva or comparable graphic and marketing software
  • Proficient in recreation software
  • Strong analytical, critical thinking, and problem-solving skills

Responsibilities

  • Oversee hiring and training of staff for Summer Camp and other assigned programs as needed
  • Ensure proper clearance documentation for staff, vendors, and volunteers
  • Provide oversight for volunteers and part-time staff
  • Coordinates agreements and compliance with outside vendors
  • Evaluate program effectiveness and recommend improvements or modifications
  • Create surveys for recreation programs
  • Identify programs requiring enhanced promotional efforts to increase participation
  • Prepare clear, concise schedules and reports
  • Prepare and maintain thorough records
  • Plan development, and implementation of new programs
  • Plan, organize, promote, and facilitate Municipal events
  • Provide on-site supervision for events and weekly farmer's market
  • Develop and coordinate new family events based on community interest
  • Recruiting event contractors and vendors for special events, including the Farmer's Market, Winter Market, and No-Cook Tuesdays
  • Serve as a liaison between the FAM board and Bethel Park Farmers Market, ensuring effective communication and collaboration for all market-related activities
  • Manage vendor and venue relationships
  • Coordinate event logistics, including seating, dining, and guest arrangements
  • Address vendor and customer inquiries and concerns promptly and professionally
  • Maintain confidentiality regarding vendor, donor, and client information
  • Oversee the preparation, distribution, and receipt of Farmer's Market registration materials
  • Help secure required documentation for staff and volunteers
  • Uses clear written and spoken communication
  • Speaks in a clear and credible manner, selecting the right tone for the situation and audience
  • Listens to others and allows them to respond
  • Demonstrated skill in preparing professionally formatted written documents
  • Collaborate with the Communications team to market recreation programs through brochures, media, and social platforms
  • Create a marketing plan with timelines for each recreation program, and event
  • Prioritizes both external and internal customers, identifies their needs and responds quickly. Prevents potential delays or issues, and keeps customers updated.
  • Manage inventory, procurement, and maintenance of supplies for programs and events
  • Assist with supervising Splash Park personnel
  • Schedule of municipal facilities, fields, and lighting
  • Coordinate with the field coalition and Bethel Park youth sports organizations
  • Support the Recreation Department in planning, preparing, and executing assigned programs and events
  • Perform general administrative duties as needed
  • Performs other assigned tasks as required
