About The Position

Advanced Technologies and Laboratories (ATL), a Planned Systems International (PSI) company, is hiring for a Records Management Specialist II/III in Richland, WA. This position will support Navarro-ATL. Navarro-ATL is located in Richland, WA and operates, manages, and maintains the 222-S Laboratory Complex for the Department of Energy. Navarro-ATL members are Navarro Research and Engineering, Inc. (Oak Ridge, TN), and Advanced Technologies and Laboratories International (Gaithersburg, MD). Responsible for providing guidance and support to Navarro-ATL customers in the area of Records Management (RM) and Document Control (DC). This includes but is not limited to establishing and managing folders in Integrated Document Management System (IDMS) and understanding of processing workflows through various Hanford site applications, i.e., SmartPlant Foundation (SPF). Responsible for assuring that Navarro-ATL is in compliance with applicable company, DOE, and regulatory agency records management requirements. Provide expertise to personnel and management regarding good practices for RM and DC, including configuration control. Perform and support the ongoing work processes for record copy capture, control, protection, retrieval, disposition, receipt of information, and processing information to the appropriate area for review and capture. Support staff regarding Essential Records. Assist with the data collection/analysis required to support the improvement or work processes and migration from existing RM/DC technologies to new technologies. Basic understanding of quality assurance principles and methods.

Requirements

  • Grade 14: Bachelor's degree (BA/BS) in related field and 2 years practical work experience in records management or related areas, or an equivalent combination of education and directly related experience.
  • Grade 16: Bachelor's degree (BA/BS) in related field and 5 years practical work experience in records management or related areas, or an equivalent combination of education and directly related experience.

Nice To Haves

  • Nationally recognized Records or Archivist Certification

Responsibilities

  • Perform assigned RM functions (e.g., records acceptance, verification, indexing, configuration control, media conversion, storage, index search and records retrieval, etc.).
  • Under limited supervision, is responsible for assuring that records are in configuration control, in compliance with applicable company procedures, and follow Electronic Records Authorization (ERA) instructions.
  • Assists users with identification and validation of record material, including quality assurance and Essential Records, prior to release.
  • Perform complex record copy search, retrieval, and develop reports of various Hanford site databases to support customer needs.
  • Coordinate services with the RM Service Provider.
  • DC and RM support to staff by providing guidance with document review, receipt control, storage, and disposition requirements. Assist with process improvement implementation.
  • Review customers' document and record use, including processing issues, for internal and DOE compliance and identify deficiencies and develop/implement improvement efforts.
  • Resolve most DC/RM questions/concerns independently; escalate issues to senior staff or management when appropriate.
  • Extensive working knowledge of indexing and permission control in IDMS.
  • Ship records to RM Service Provider for processing as required.
  • Develop ERA changes and additions to meet effective indexing of areas within IDMS.
  • Aid in determining appropriate record classification level, e.g., 'Official Use Only', etc.).
  • Assist in the preparation of Navarro-ATL Records Inventory and Disposition Schedules (RIDS) and in the record disposition process.
  • Participate in assessments of the RM/DC programs and develop initiatives for improvement.
  • Other duties as assigned.
