About The Position

The Records and Credentialing Specialist plays a vital role in supporting KBBH’s mission by ensuring the accuracy, integrity, and timely management of medical records and provider credentials. You will maintain compliance with federal and state regulations, safeguard sensitive information, and help licensed providers stay active, credentialed, and ready to serve our community. In this position, your work directly supports client care, operational efficiency, regulatory compliance, and the agency’s reputation for excellence. You will manage records requests, oversee licensing and credentialing processes, and—when assigned—serve as an alternative Adult Abuse Investigator, supporting the protection of vulnerable community members.

Requirements

  • High school diploma or GED
  • Ability to work independently with accuracy and attention to detail
  • Strong communication, organization, and problem solving skills
  • Ability to maintain confidentiality and uphold ethical standards
  • Proficiency with computers and ability to learn agency systems
  • Valid Oregon driver’s license
  • Insurable driving record
  • Personal auto insurance (if conducting agency business)

Nice To Haves

  • Certification in Provider Credentialing and/or Medical Office Administration

Responsibilities

  • Ensure timely, accurate, and compliant records management
  • Monitor incoming records requests across multiple channels
  • Review authorization, process requests, and release information within established timelines
  • File, organize, and maintain documentation with precision
  • Educate staff on HIPAA, 42 CFR Part 2, and documentation standards
  • Support provider credentialing and licensing processes
  • Track licenses, credentials, and renewal timelines
  • Facilitate initial and renewal credentialing with insurance companies
  • Maintain positive working relationships with payers and regulatory bodies
  • Develop and enhance internal credentialing workflows
  • Release required information to agencies per legal requirements
  • Maintain agency wide compliance and regulatory alignment
  • Understand and apply Oregon Administrative Rules related to behavioral health documentation
  • Monitor legislative changes and advise leadership on required updates
  • Support organizational readiness for audits, accreditation reviews, and compliance checks
  • Build cross department relationships to support workflows
  • Partner with staff across programs to ensure documentation and credentialing needs are met
  • Communicate clearly, proactively, and professionally
  • Serve as an Adult Abuse Investigator when assigned
  • Investigate reports of abuse, neglect, or exploitation under DHS OTIS guidelines
  • Review records, assess safety concerns, and determine if reports meet criteria for investigation
  • Participate in Klamath County’s Multi Disciplinary Team (MDT)
  • Coordinate with law enforcement, DHS, healthcare entities, and community partners
