The records coordinator supports litigation teams by managing the full lifecycle of legal records, coordinating new matter intake, and ensuring accurate document handling across electronic and physical systems. This role serves as a key liaison between attorneys, docketing, and records functions, ensuring compliance, organization, and timely access to critical case materials.

Requirements

  • 10+ years of experience in law firm records, docketing, or litigation support
  • Strong knowledge of: Litigation document workflows Court filings and legal documentation
  • Experience with electronic document management systems (iManage or similar)
  • Ability to manage high-volume, detail-oriented work with strict deadlines
  • Maintain strict confidentiality of protected consumer personal information
  • Strong organizational and communication skills
  • Ability to work independently and collaborate across departments
  • Proficiency with Microsoft Office, including Word, Outlook, Excel, and PowerPoint; InTapp; iManage; SharePoint

Nice To Haves

  • Experience with litigation docketing/calendaring systems such as CompuLaw, PACER, or CM/ECF desirable

Responsibilities

  • Manage daily new matter intake processes, including initiate new matter requests using Intapp and log and summarize procedural data for new litigation and subpoena matters using Microsoft Office
  • Distribute notifications of client/matter numbers to assigned attorneys
  • Coordinate administrative workflows related to client matter setup
  • Serve as primary owner of records inbox, triaging and processing high-volume document requests
  • Review, title, and upload legal documents (pleadings, discovery, correspondence) into iManage
  • Distribute settlement and related documentation for litigation matters
  • Route documents to docketing teams and ensure proper tracking of deadlines
  • Manage lifecycle of physical files, including: File creation, maintenance, and closure Offsite storage coordination and retrieval Processing settlement agreements and final documentation
  • Maintain records within Records Management System (RMS)
