About The Position

Our client is a full-service 401(k) recordkeeper, third-party administrator (TPA), and registered investment advisor (RIA). They partner with plan sponsors, advisors, and payroll providers to deliver accurate, compliant, and efficient retirement plan administration. They aim to deliver a white-glove service to our clients and plan participants through fast, high-quality responses and proactive communication, leveraging technology to empower their people to do their best work. WHO YOU ARE: The incumbent is motivated, organized, a quick learner - especially with technology and processes, with a finance or accounting background. This person will own the loan and distribution process from end to end so must be accountable with the ability to uphold SLAs. Must be coachable and able to conduct research on their own before asking questions to demonstrate a willingness to put in effort on learning. WHAT YOU WILL DO: This role is responsible for the end-to-end oversight of retirement plan distributions and participant loans. This role ensures all distributions and loans are processed accurately, timely, and in compliance with applicable IRS and DOL requirements, including evolving rules under SECURE 2.0. This is a hands-on, individual contributor role. While the position does not have direct reports, it serves as the subject matter expert for distribution and loan processing and is accountable for process execution, documentation, troubleshooting, training, and continuous improvement.

Requirements

  • Significant experience processing retirement plan distributions and participant loans
  • Strong technical knowledge of IRS tax rules, withdrawal restrictions, and loan requirements
  • Demonstrated understanding of SECURE 2.0 distribution provisions and their operational impact
  • Experience handling complex and non-routine distribution scenarios
  • Strong problem-solving, analytical, and documentation skills
  • Clear written and verbal communication skills

Nice To Haves

  • Experience in a retirement plan recordkeeping or TPA environment
  • Familiarity with Form 1099-R reporting and reconciliation

Responsibilities

  • Own the day-to-day processing of retirement plan distributions and participant loans, ensuring transactions are completed accurately and within established SLAs
  • Monitor workflows, queues, and exception reports to identify delays, errors, or compliance risks
  • Coordinate the use of system tools, automation, and manual processes to support accurate and timely issuance of payments.
  • Apply deep technical knowledge of IRS and DOL rules governing distributions and loans, including tax withholding, rollover eligibility, and withdrawal restrictions
  • Interpret and apply SECURE 2.0 provisions, including new and expanded withdrawal types and participant eligibility requirements
  • Ensure correct handling of special distribution scenarios such as hardship withdrawals, in-service withdrawals, QDROs, death benefits, and required minimum distributions (RMDs)
  • Develop, maintain, and continuously improve SOPs, job aids, and reference materials for distributions and loans
  • Ensure documentation accurately reflects plan provisions, regulatory requirements, and system behavior
  • Identify opportunities to standardize, streamline, and automate distribution and loan workflows
  • Research and resolve complex distribution and loan errors, including tax reporting issues, incorrect withholding, eligibility failures, and system exceptions
  • Serve as the escalation point for non-standard or high-risk distribution and loan scenarios
  • Partner with internal teams (compliance, implementation, technology, client services) to resolve root causes and prevent recurrence
  • Answer day-to-day technical and procedural questions from team members
  • Train new and existing staff on distribution and loan rules, system processing, and exception handling
  • Provide guidance on complex participant scenarios and edge cases
  • Handle complex or non-standard client requests related to distributions and loans
  • Ensure special requests are executed accurately, documented appropriately, and aligned with plan provisions and regulatory requirements
  • Ensure processing aligns with ERISA, IRS, and DOL requirements
  • Support audits, regulatory inquiries, and internal reviews related to distributions and loans
  • Proactively identify operational, tax, and compliance risks and recommend corrective actions
