Requirements

  • High school diploma/GED
  • Five (5) years of progressively responsible experience in modern administrative support functions, data entry, word processing, computer use and record keeping.

Nice To Haves

  • Florida Notary Public certificate within three (3) months of hire or promotion.

Responsibilities

  • Performs various duties in preparing assigned meetings, which includes room preparation, equipment transport/preparation, preliminary correspondence concerning documentation review and revision, pre-qualifications, agenda packets and back up materials.
  • Attends quasi-judicial meetings (Special Masters, Boards of Adjustments & Appeals, Code Compliance, Contractors' Regulatory Board and Unlicensed Contracting).
  • Processes and disseminates legal documents after Special Master meetings, working closely with Assistant City Attorney and related Supervisors.
  • Serves as liaison between Special Masters and the public in communications.
  • Maintains meeting calendars and monitors scheduling to prevent conflicts and coordinate with related inspections and hearings.
  • Participates in cross-training to ensure back up coverage for all municipal meetings.
  • Attends all assigned meetings (to include as back-up) for the purpose of providing comprehensive administrative support, paying specific attention to all legal requirements as prescribed by Florida Statute or City Code.
  • Adds new code compliance documents and makes any required revisions to existing documents in the database.
  • Enters necessary data for generation of quarterly Lien and Release reports.
  • Prepares and records Hold Harmless Agreements as ordered by the Board of Adjustments & Appeals.
  • Records all Formal Findings and Written Decisions ordered by the Special Master.
  • Prepares subpoenas for service to code violators and citizens ordered to report the Contractors' Regulatory Board for disciplinary hearings.
  • Prepares Letters of Reprimand ordered by the Contractors' Regulatory Board.
  • Performs other related duties as required.
