The Record Management Clerk position at the Department of Children and Families (DCF) in Massachusetts is focused on providing clerical support primarily for the Division of Administration & Finance. This role is essential in managing confidential records, responding to inquiries, and ensuring the efficient processing of archived records requests. The clerk will also assist in maintaining files, coordinating records production, and supporting various administrative functions to uphold DCF's mission of protecting children from abuse and neglect.

  • Perform clerical support activities for the Division of Administration & Finance.
  • Manage the archived records request process.
  • Enter data on i-FamilyNet.
  • Compose and prepare correspondence, reports, and affidavits as requested.
  • Coordinate records production for external requests, including redacting and printing.
  • Support Mail/Copy Room as a backup.
  • Facilitate Client Care requests.
  • Maintain files and records, including confidential records.
  • Provide backup for the receptionist and switchboard.
  • Cover vacant positions within the Operations Unit.
  • Perform other administrative duties as assigned by Supervisor.
  • At least four years of full-time or equivalent part-time experience in office work.
  • At least one year of experience in a supervisory or administrative capacity.
  • Demonstrated ability to operate all office equipment including PC, photocopier, scanner, and virtual fax.
  • Ability to work with culturally diverse populations.
  • Ability to maintain a professional demeanor in all communication and correspondence.
  • Proficiency in Word, Excel, and i-FamilyNet.
  • Ability to plan, organize, and carry through on office events.
  • Ability to work with minimal direction and establish systems to improve clerical functions.
  • Experience in a government or public service environment.
  • Knowledge of child welfare policies and practices.
  • Familiarity with record management systems.
