About The Position

The role involves coordinating all aspects of the reconstruction division at SERVPRO of Northwest Charlotte, ensuring high-quality service in property disaster restoration. Responsibilities include managing daily operations, scheduling project managers and subcontractors, overseeing job contracts, and maintaining customer satisfaction throughout the reconstruction process.

Requirements

  • Three or more years of administrative, organizational office-related experience.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Ability to learn new software, including Xactimate and other restoration proprietary software.
  • Strong work ethic and high energy with a drive for excellence.
  • Positive team attitude and ability to work in a fast-paced environment.
  • Outstanding written and verbal communication skills.
  • Excellent organizational skills and strong attention to detail.
  • Ability to remain calm and professional during stressful situations.

Responsibilities

  • Coordinate daily operations of the reconstruction division.
  • Manage scheduling of project managers and subcontractors.
  • Oversee construction job set-up and job contracts.
  • Handle billing processes and job management tracking.
  • Ensure high quality of service in all dealings with customers and subcontractors.
  • Assist with customer service and management of the customer experience.
  • Monitor and ensure client requirements are followed.
  • Enter leads/jobs into the operating system and validate project file documentation.
  • Schedule initial visits with customers and educate them on the process.
  • Confirm project scope of work with project managers and maintain communications with clients.
  • Interface with subcontractors for availability and manage their onboarding.
  • Acquire necessary permits and ensure compliance with local regulations.
  • Run weekly Work-in-Progress (WIP) meetings and maintain project schedules.
  • Prepare project reports and manage collections activities.
  • Perform project close-out and review file documentation upon completion.
