We are seeking a full-time Receptionist to join our small law firm in Newcastle, Oklahoma. The role involves providing general office support, managing communications, and maintaining a welcoming environment for clients and visitors. Responsibilities

  • Provide general office support with a variety of clerical activities and related tasks.
  • Answer and direct phone calls in a polite and friendly manner.
  • Welcome visitors warmly and answer any questions they have.
  • Maintain the reception area and all common areas in a clean and tidy manner at all times.
  • Operate standard office equipment, including fax machines, scanners, copy machines, and computers.
  • Keep detailed and accurate records of visitor requests and calls received.
  • Scan documents and provide copies to clients.
  • Schedule appointments and maintain calendars.
  • Schedule and coordinate staff and other meetings.
  • Review upcoming dockets and update them to show whether a matter has been continued, dismissed, or completed.
  • Follow up with courts, opposing parties, and/or clients regarding upcoming hearings.
  • Receive deliveries; sort and distribute incoming mail.
  • Collate and distribute mail.
  • Prepare communications such as memos, emails, invoices, reports, and other correspondence.
  • Write and edit documents from letters to reports and instructional documents.
  • Maintain filing systems, both electronic and physical.
  • Take inventory of supplies and restock as needed.
