The receptionist plays a crucial role in ensuring a smooth and welcoming experience for clients and their pets at the veterinary practice. This position involves managing the reception area, handling phone calls, scheduling appointments, and maintaining client records, all while providing excellent customer service.

  • Greet clients and pets by name and maintain sign-in sheets.
  • Inform clients of expected waiting times if the doctor is behind schedule.
  • Maintain the cleanliness and appearance of the waiting room and reception area.
  • Receive and screen all incoming calls, directing them to the appropriate staff.
  • Record complete telephone messages and schedule appointments.
  • Contact clients to remind them of upcoming appointments and necessary preparations.
  • Pull and update client charts for daily scheduled appointments.
  • Complete all filing, including invoices, lab reports, and correspondence.
  • Prepare and mail client reminders for various services.
  • Accurately enter payments and utilize check verification when needed.
  • Maintain a professional appearance and courteous attitude.
  • Strong communication and interpersonal skills.
  • Ability to manage multiple tasks efficiently.
  • Proficiency in using computer software for information management.
  • Attention to detail in record-keeping and filing.
  • Experience in a veterinary or medical office setting.
