About The Position

The Receptionist at AdCare Rhode Island American Addiction Centers plays a crucial role in providing administrative support and ensuring a welcoming environment for patients and visitors. This position is integral to the facility's operations, requiring excellent communication skills and the ability to manage multiple tasks efficiently. The Receptionist will contribute to the organization's mission of delivering quality care to individuals struggling with addiction and mental health disorders.

Requirements

  • High School Diploma required, Bachelor's Degree preferred.
  • Ability to read and interpret written information; write clearly and informatively; edits work for spelling and grammar.
  • Ability to speak clearly and persuasively in positive or negative situations; listens and gets clarification; responds well to questions; demonstrates group presentation skills; and participates in meetings.
  • Working knowledge of Google Office Products.
  • Ability to be capable of dealing with the possible frustrations involved in working within an agency that services individuals recovering from drug and alcohol addictions, who may experience mental health issues.
  • Must be able to work overtime, weekends, holidays, and flexible hours.

Responsibilities

  • Answers telephones on or before 3rd ring, relays information, and transfers calls to proper program components.
  • Maintains complete knowledge of the methods, systems and functions of the facility and the work flow relationship to other departments in the facility.
  • Sorts and delivers mail to departments quickly and ensuring mail is signed for by persons picking mail up.
  • Maintains reception area and main desk to ensure tidy appearance.
  • Greets patients, visitors and guests as they enter the building and maintain security by following procedures by having visitors sign the login book and monitoring logbook.
  • Ensures all visitors are given a visitor name tag to wear while on campus.
  • Responds appropriately to emergencies.
  • Provides information regarding services of the company.
  • Ensures Receptionist Desk is monitored always and never unattended.
  • Partner with the facility leadership team to ensure a seamless transition of pre-hire onboarding and Day 1 new hire orientation, including proactive troubleshooting and necessary communication to facility leadership.
  • As needed, assist facility executive director with scanning, filing and expense reconciliation.
  • In partnership with facility leadership, support scheduling the conference room for meetings, including set up of the conference room with appropriate snacks and refreshments.
  • Sign for general/facility mail deliveries (i.e.; Amazon, Fed-Ex, UPS) and distribute to the appropriate recipient (does not include medication deliveries).
  • Handle inbound packages for patients, record them in the logbook, and confirm that proper documentation has been received.
