About The Position

20/20 Tax Resolution is seeking a professional and welcoming Receptionist to serve as the first point of contact for clients and visitors. This role is crucial for delivering exceptional customer service and efficiently managing front desk operations in a fast-paced environment. The ideal candidate will excel in organization, attention to detail, and possess experience with high-volume, multi-line phone systems.

Requirements

  • Proven experience with high-volume multi-line phone systems.
  • Prior experience as a receptionist or in a similar administrative role is required.
  • Proficiency in operating office equipment such as fax machines and printers.
  • Advanced computer skills, including expertise in Microsoft Office Suite (Word and Excel).
  • Strong proficiency in using web-based tools and platforms, including Google Workspace (Gmail, Google Drive, Google Calendar, etc.).
  • Ability to effectively manage multiple tasks and prioritize in a fast-paced environment.
  • Professionalism in handling sensitive and confidential client information.
  • Friendly and approachable demeanor with a positive attitude and strong work ethic.
  • Self-motivated with the ability to work independently while maintaining excellent organization and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Exceptional organizational skills with a strong focus on accuracy and detail.
  • High school diploma or equivalent is required; additional certifications or qualifications are advantageous.
  • Bilingual in Spanish is a plus.

Responsibilities

  • Greet and welcome visitors and clients with a friendly and professional demeanor.
  • Answer, screen, and direct phone calls and emails to the appropriate individuals.
  • Sort, distribute, and manage incoming and outgoing mail, including handling deliveries.
  • Schedule and coordinate meetings, appointments, and conference room bookings.
  • Provide information and assistance to visitors and staff with a service-oriented approach.
  • Email and communicate relevant information to the appropriate parties.
  • Send potential clients marketing material via email.
  • Assist with general administrative tasks to support various departments, including data entry, paperwork, photocopying, etc.
  • Maintain a clean and organized reception area.
