RECEPTIONIST SUMMARY: The Receptionist will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization. Supply information regarding the organization to the general public, clients and customers.

  • High school diploma or general education degree (GED) or related experience and/or training.
  • Valid driver's license.
  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
  • To perform this job successfully, an individual should have knowledge of Accounting software; Internet software; Spreadsheet software and Word Processing software.
  • Must have a valid driver license.

Responsibilities

  • Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
  • Answers, screens, and directs phone calls to staff; takes messages and schedules appointments. Retrieves messages from voice mail and forwards to appropriate personnel.
  • Answers general questions about the organization and provides callers with address, directions, and other information.
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
  • Welcomes on-site visitors and announces visitors to appropriate personnel.
  • Performs administrative and clerical support tasks.
  • Maintain calendar for conference rooms and helps to prepare for meetings as needed by keeping them clean and stocked with supplies.
  • Ensures that the break room is clean and stocked.
  • Performs other duties as assigned.
