The receptionist is the first point of contact for our client — responsible for shaping the guest experience, supporting studio operations, and maintaining an organized, high-functioning front-of-house. This role supports a fast-paced creative environment and requires strong judgment, adaptability, and a balance of hospitality and operational coordination. The Receptionist plays a critical role in maintaining the daily operations and guest experience for our client. This position requires a proactive, organized, and service-oriented professional who ensures every space reflects our client's high standards of care and attention to detail. The ideal candidate will be the face of the studio—offering hospitality, operational excellence, and seamless support to employees, vendors, and executive leadership alike. You’ll take ownership of the day-to-day rhythm of the building, ensuring all shared areas are organized, stocked, and presentation-ready. This role combines elements of front-of-house management, facilities coordination, and administrative support—all rooted in a commitment to exceptional service and confidentiality.

Requirements

  • 1–4 years of experience in reception, hospitality, or facilities operations within a creative or corporate environment.
  • Exceptional interpersonal and communication skills with a warm, professional presence.
  • Highly organized, detail-oriented, and proactive in identifying and solving problems.
  • Demonstrated ability to multitask and prioritize effectively in a dynamic, fast-paced setting.
  • Experience collaborating with security, facilities, or operations teams to support a seamless workplace experience.
  • Skilled in using macOS, iOS, and productivity tools (Calendar, Pages, Numbers, Keynote); familiarity with Slack, Wrike, or similar platforms a plus.
  • Discretion in managing sensitive or confidential information.
  • Flexible and dependable, with a service mindset and willingness to assist wherever needed.
  • Strong sense of ownership, accountability, and pride in presentation and user experience.

Responsibilities

  • Take ownership of the daily operations of the studio, ensuring all spaces are organized, stocked, and presentation-ready.
  • Serve as the face of the studio, ensuring hospitality and professionalism in every interaction.
  • Greet and assist employees, guests, and vendors with warmth, discretion, and attention to detail.
  • Partner closely with internal partners to maintain a safe, welcoming, and efficient arrival experience for all visitors.
  • Act as on-site administrative support for executives and leadership, coordinating deliveries, meetings, and hospitality needs.
  • Receive, unpack, and distribute supply and snack orders while maintaining accurate inventory across kitchens, break rooms, and shared areas.
  • Frequently restock and organize kitchens and common spaces, promptly replenishing items when supplies run low.
  • Support studio events and meetings, including catering setup, coordination, and vendor management.
  • Respond promptly and helpfully to requests and questions from team members across the organization.
  • Partner with Studio Operations, Space Planning, Tech Ops, and Facilities teams to resolve issues quickly and uphold standards.
  • Maintain confidentiality and exercise sound judgment when handling sensitive or proprietary information.
  • Demonstrate accountability and pride in maintaining a workspace that reflects our client's culture of care, design excellence, and attention to detail.
