About The Position

JOB SUMMARY: The receptionist is the initial point of contact for patients arriving at the clinic for medical care, for those who call requesting appointments, and to provide information on clinic services and business practices. They perform the basic clerical tasks necessary to assure the orderly management of patient flow during the regular and extended hours of operation.

Requirements

  • A high school diploma or GED required.
  • Ability to multitask, time management and the ability to maintain a high level of detail and accuracy.
  • Excellent verbal and written communication skills are necessary for handling phone calls and interacting with patients and colleagues.
  • High degree of professional maturity, commitment to excellence, independence, flexibility, initiative, and time management skills.
  • Computer literacy required, experience with electronic health record programs and office software preferred.

Responsibilities

  • Greet and check in patients as the initial point of contact for patients arriving at the clinic for medical care and for those requesting appointments.
  • Perform basic tasks necessary to assure the orderly management of patient flow during the regular and extended hours of operation.
  • Perform scanning of medical records into the electronic health record.
  • Verify and input patient information such as name, age, insurance coverage and/or sliding scale verification of patient upon each visit.
  • Generate encounters for patient visits.
  • Schedule patient appointments.
  • Make patient appointment reminder calls and monitor practice patient portal for appointment requests as necessary.
  • Answer telephone and route messages and calls accordingly.
  • Monitor waiting room as necessary.
  • Provide general information about clinic services.
  • Maintain supplies and forms for front office.
  • Issue work/school excuses under provider direction.
  • Obtain and/or send medical records when requested.
  • Record encounters as finished and generate patient visit summary.
  • Receive patient payments for daily service or on account.
  • Enter payments into the daily journal.
  • Balance cash drawer daily.
  • Return phone system to daily operational hours.
  • Lock/unlock front/back doors. Turn on/off facility lights.
  • Cross train front office job skills to ensure coverage for patient flow.
  • Hold in strictest confidence all information pertaining to any and all patient and clinic matters.
  • Perform other duties as assigned by the supervisor and/or COO.
